      What's Available:

      • 1.0 FTE (40 hours/week)

      • Shift: Monday-Friday, Mainly Days

      • Department: Medical Education

      • Location: Medical Education, 3rd floor of the clinic (position has private office)

      Schedule Example:

      • Monday-Friday, anywhere between 7:00 AM - 5:00 PM

      Job Description:

      The Medical Education Executive Assistant supports the medical education leadership team (Vice President/Designated Institutional Official, Administrative Director, and Managers) with high-level administrative support including planning, coordinating, and executing programs, projects, and activities. Responsibilities of the Executive Assistant include the ability to carry out confidential and technical administrative support, managing schedules and email correspondences, and exercising considerable judgment and discretion in completing projects and assignments for the leadership team. The Executive Assistant is responsible for assisting with accreditation site visits, routine correspondence, executive summaries, administrative meeting support and event management. Additionally, the Executive Assistant serves as a resource/mentor for the Medical Education Office Assistant.

      Supports a VP in an administrative capacity. Plays a major role in coordinating the primary function, work or activities of the executive(s) being supported by anticipating their needs and workflow.

      Major Responsibilities:

      1. Performs a variety of more complex and advanced administrative work to senior leadership.
      2. Serves as an administrative liaison with others outside of the area or organization. Demonstrates initiative and independence using extensive knowledge of the area of responsibility.

      3. May deal with highly confidential and sensitive information.

      4. Compiles information for reports or presentations. Prepares charts, graphs, or tables.

      5. May be responsible for budget tracking and maintaining financial or personnel records and databases.

      6. Responds to correspondence. Edits and proofreads documents.

      7. Communicates with others in person, telephone, and/or email. May receive and screen visitors and handles general inquiries.

      8. Assists with preparing for and facilitating meetings, conferences, programs and/or special events.

      9. Establishes and maintains filing systems. Orders and stocks supplies.

      10. May enter information from a variety of sources into computer database(s) and verify data entered into computer by checking printouts/reports for errors and correcting as required.

      11. Performs other duties as assigned.

      Education and Learning:

      REQUIRED

      Associate's degree in Business or a related field
