- Prepare written communications, speeches, and accompanying PowerPoint presentations for internal and external audiences.
- Manage all activity in Outlook, including maintaining contact databases and managing professional and personal calendars and schedules, while using initiative, judgement, and diplomacy to navigate competing priorities and time commitments.
- Anticipate the CEO’s forward calendar needs and develop advance briefing materials to facilitate preparation.
- Schedule, prepare, and plan quarterly and annual Leadership Team meetings, including hotel reservations, room bookings, ordering meals/snack, preparation of necessary documentation.
- Continually update and maintain the company’s Accountability Chart for all divisions.
- Pull information from systems and solicit input from functional personnel to compile reports and updates as necessary.
- Serve as liaison between CEO and other employees.
- Arrange corporate and personal travel, meetings, social events, and other commitments of the CEO, the CEO’s family, and other Leadership Team members as assigned.
- Complete special projects and assignments by establishing objectives, determining priorities, managing time, gaining cooperation, monitoring progress, and solving problems.
- Communicate with internal colleagues and external counterparties to complete tasks with grace, diplomacy, and poise.
- Maintain awareness of special projects and corporate strategic and operational priorities to maintain the CEO’s tracking and management of corporate priorities; follow up on open issues.
- Manage agendas for weekly Leadership meetings, bi-weekly Executive Committee meetings, quarterly stakeholder meetings, and other meetings as needed.
- Demonstrate solid judgment and absolute discretion when handling confidential information and materials.
- Manage expense reporting and selected personal financial and administrative matters for the CEO with absolute confidentiality and discretion.
- Assist with general office administration, including office management, setup/tear down of office spaces, inventory, cleaning, and room reservation management.
- Plan and execute all aspects of the company’s Annual Incentive Trip (typically 50 to 200 guests).
- Manage 11 local condominium properties, including scheduling maintenance repairs, supervising maintenance repairs, signing leases, addressing tenant concerns, fielding questions from the local market, and interior decorating.
- Assist in answering inbound office calls.
- Lead strategic initiatives that support and enhance the company’s culture and long-term success.
- Anticipate needs and proactively address issues before they arise.
- Provide backup support for other Executive Assistants, as needed.
- Assist other Leadership Team members, as assigned.
- Resolve issues and troubleshoot a variety of operational and administrative situations.
- Organize and maintain physical file systems.
- Provide basic technology troubleshooting and support.
- Mentor and guide other assistants, as assigned.
- Perform other duties, as assigned.

- You enjoy working in an engaging office setting, Monday through Friday, 8:30 a.m. to 5:30 p.m.
- You have 5+ years of experience supporting senior executives in an administrative capacity, including at least 3 years direct support to a Chief Executive Officer or Chief Financial Officer at a company with $100M+ in annual revenue.
- You bring a can-do, positive attitude to everything you take on.
- You are completely trustworthy (with references to confirm it) and consistently demonstrate discretion, sound judgment, tact, and poise.
- You are flexible and available to work late hours and weekends as needed, and you can remain on-call during the CEO’s travel or during peak workload periods.
- You ideally have prior experience interacting with high-profile individuals in both public and private sectors.
- You possess excellent verbal and written communication skills.
- You thrive under pressure, respond resourcefully to shifting priorities, and take initiative to solve problems proactively.
- You have expert-level proficiency in Microsoft PowerPoint, Word, and Outlook, with advanced skills in Excel preferred.
- You have experience using Adobe Pro and, ideally, Adobe Illustrator.
- You hold a bachelor’s degree; a degree in Business Administration or a related field is preferred.
- Competitive Base Salary
- $80,100 - $90,200
