      Hourly base pay rate is $31.49 - $47.26/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

      Job Description

      Cox Automotive is seeking an Executive Assistant II to provide administrative leadership and support to the Mobility Fleet Services Vice President, Finance and the Mobility leadership team. The individual in this role will provide seamless execution of tasks and administrative support including extensive calendar management, meeting preparation, managing the leaders’ daily schedule, and handling tasks on behalf of the leader as needed.

      Independent judgment, proactivity and use of initiative and decision making, as well as having a self-starter orientation is required to accurately plan, prioritize, organize and deliver detailed results in a fast-paced environment across organizational departments. The ideal candidate will have experience supporting senior level executives. Executive Assistant II is the key to keeping the leader very organized and focused on the business priorities by taking care of administrative details and tasks.

      Key Responsibilities:

      • Responsible for supporting leadership, the overall business and the daily management of the Fleet Services finance team.
      • Organize and manage calendar and time management for meetings and events including scheduling resources such as people, securing, managing and preparing meeting space, equipment and technology support, travel, catering, transportation, and set up.
      • Participate in leadership team meetings to prepare and balance agenda; take notes and disseminate outcomes; project manage outcomes and prompt additional work required.
      • Partner closely with the IT support team for any technological needs for executives, including proactive testing and set-up of technology for key meetings.
      • Operate independently to complete high quality and accurate work to meet established goals.
      • Discreetly handles sensitive matters and confidential information of major importance such as company strategy, financial and personnel information.
      • Learn executives’ personal preferences and anticipate their needs.
      • Communicate effectively with individuals at all levels of the Cox organization.
      • Proactively liaise with facilities for move and ongoing work environment needs
      • Coordinate onboarding support for new employees; ensure they have the needed resources to get started as a new employee of Cox Automotive including office space, equipment, technology, etc.
      • Maintains executives’ appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel, both domestic and international.
      • Arrange domestic & international travel and all accommodations including comprehensive and detailed itineraries for internal team members and external clients as needed.
      • Perform administrative functions such as ordering supplies, coordinating equipment repairs, organizing files, and supply purchasing and procurement card reconciliation.
      • Prepares expense reports, other reporting requests, spreadsheets and presentations, which may require the gathering of data from internal and/or external sources.
      • Ensure all documents, letters, and other materials are in final format, including but not limited to grammar, content, substance, and accuracy.
      • Attends staff meetings, records minutes and creates a summary of the meeting, highlighting the significant issues, distributing meeting minutes and documents, as assigned.
      • Welcomes guests by greeting them, in person or on the telephone; answering or directing inquiries.
      • Develops and maintains collaborative working relationships with the other EAs in CAI and the other Cox companies.
      • Foster a consistently positive office environment. Coordinate holiday events, special events, and all-hands meetings. Cultivate and maintain healthy relationships with all office personnel, promoting a welcoming and inclusive atmosphere at all times.
      • Manage small projects independently or with a team.
      • Support Ad-hoc projects as assigned.

      Qualifications:

      Minimum:

      • High School Diploma/GED and 7 years’ experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years’ experience; or 9 years’ experience in a related field.
      • Demonstrated, highly proficient skill level in the following technology:
        • Microsoft Word, Excel, PowerPoint, and Outlook required.
        • Visio experience preparing Organizational Charts.
      • Proven experience and demonstrated ability managing sensitive matters and maintaining the highest level of confidentiality is required.
      • Demonstrated, highly proficient skill level in the following technology:
      • Demonstrated ability to concurrently manage multiple projects and priorities in a fast-paced, detail-oriented, deadline-driven environment.
      • Exceptional detail orientation and organizational skills required.
      • Demonstrated excellent communication skills (written, verbal and presentation).
      • Proven organizational skills and ability to prioritize and work independently while collaborating and partnering with a cross-functional group.

      Preferred:

      • Prior experience as an executive assistant.
      • Concur Travel and Expense.
      • Having a working knowledge of the technology function is strongly preferred.

      Drug Testing

      To be employed in this role, you’ll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position.       Benefits

      Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
