      The Client organization seeks a collaborative and thoughtful Executive Assistant II who wants to work in a fast-paced, exciting environment.

You will be responsible for sophisticated calendar management, driving organizational initiatives, and developing effective relationships with stakeholders across the organization unit.

      A Day in the Life

      • As an Executive Assistant in this Unit Resilience, you'll masterfully manage complex calendars for multiple executives, coordinating sophisticated travel arrangements and organizing high-impact meetings and events.
      • You'll serve as a crucial liaison between senior leaders and their teams, building strong partnerships across the organization.
      • Your role involves supporting annual planning processes, driving key deliverables to completion, and identifying process improvements to enhance efficiency.
      • With a keen understanding of business priorities, you'll anticipate needs, solve problems proactively, and ensure smooth operations.
      • Your meticulous attention to detail in handling expenses, logistics, and confidential information will make you an indispensable asset to the leadership team.

      • You will be responsible for sophisticated calendar management, driving organizational initiatives, and developing effective relationships with stakeholders across the unit.

      Typical Day in the Role
      Daily Schedule / OT Expectations:
      • MON-FRI 40 HR / WK
      • No OT Expected

      Interaction with Team:
      • You'll serve as a crucial liaison between senior leaders and their teams, building strong partnerships across the organization.

      Typical Task Breakdown:
      • Manage multiple complex executive calendars and high-stakes scheduling requirements
      • Track and drive completion of key deliverables, ensuring proactive follow-up on pending items
      • Partner with leaders to understand priorities and implement processes that enhance organizational effectiveness
      • Manage group logistics and workspace planning, including team moves and reconfigurations
      • Coordinate complex domestic and international travel arrangements
      • Process and file expense reports while ensuring compliance with company policies
      • Plan and execute team activities and events that strengthen team culture
      • Build and maintain strong relationships with stakeholders across all organizational levels
      • Anticipate and proactively address executive and team needs
      • Handle confidential information with the highest level of discretion
      • Drive continuous improvement initiatives within the administrative function
      • Create and maintain documentation for key processes and procedures
      • Having fun at work and helping others do the same

      Candidate Requirements
      Degrees / Certs and/or Experience Required:

      • Complex Calendaring Required as will be supporting 2 very busy Executives
      • Travel and Expense Management experience (nice to have)
      • Space Management experience (nice to have)
      • Very Strong skills in Outlook and Microsoft Products / M365

      Top 3 must-have hard skills
      1 4-6 YR Experience in Complex Calendaring
      2 Very Strong skills in Outlook and Microsoft Products / M365
      3 1-2 YR Experience in Space Management
