      ABOUT THE POSITION

      The Executive Assistant is a critical role within the organization, providing comprehensive administrative support for the executive leadership office via direct support of the President. This position requires a highly organized, detail-oriented individual with exceptional communication and interpersonal skills. The ideal candidate will be proactive, resourceful, and able to handle multiple priorities and assignments with ease and polish.

      KEY RESPONSIBILITIES

      Executive Support:

      • Manage calendars, schedule meetings, and coordinate travel arrangements for the President and COO.
      • Prepare and edit correspondence, presentations, and reports.
      • Handle incoming and outgoing calls and emails.
      • Coordinate and attend meetings, taking detailed notes and following up on action items.

      Operations Analysis:

      • Assist in gathering and analyzing data related to operational performance.
      • Prepare reports and presentations summarizing key findings.
      • Identify areas for improvement and recommend strategies for optimization.

      Meeting/Event Planning and Coordination:

      • Coordinate and execute special events, conferences, and meetings.
      • Manage budgets, vendor relationships, and logistics.
      • Ensure success by overseeing all aspects of planning and execution.

      Special Projects:

      • Support the President and COO on various special projects as needed.
      • Conduct research and gather information.
      • Assist in drafting proposals and presentations.

      Administrative Tasks:

      • Maintain filing systems and records.
      • Order supplies and equipment.
      • Manage expense reports and reimbursements.

      QUALIFICATIONS

      • Bachelor's degree or equivalent experience.
      • Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role.
      • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
      • Excellent organizational and time management skills.
      • Strong attention to detail and accuracy.
      • Excellent communication and interpersonal skills.
      • Ability to work independently and as part of a team.
      • Experience in the hospitality or senior living industry is preferred.

      Desired Skills:

      • Experience with project management tools.
      • Knowledge of data analysis and reporting tools.
      • Ability to handle confidential information with discretion.
