      Under the direction of the Directors of Equity, Diversity and Inclusion (EDI) and Indigenous Initiatives (II), the Executive Assistant provides a high level of confidential administrative support to the Equity, Diversity, and Inclusion Office (EDIO) and Office of Indigenous Initiatives (OII) at UTM. Responsibilities include being the first point of contact for the Directors, receiving and directing inquiries in person, via email and on the phone, in addition to providing project and logistical support. The incumbent is responsible for managing calendars for the Directors, maintaining a system of operational records, generating routine reports and materials, tracking financials for the EDIO and OII including government grants.


      The Executive Assistant will also be responsible for managing the Offices and is expected to work with limited direction, executing a significant amount of judgement, tact, diplomacy, confidentiality, and discretion in all aspects of the role. The incumbent must maintain an in-depth understanding of the priorities of the Offices of Equity, Diversity, and Inclusion and Indigenous Initiatives and must present respectfully by interacting knowledgeably and courteously with a variety of individuals including senior administrators, faculty, staff, students, librarians, Elders/Knowledge Keepers, and community members who come into contact with the EDIO and OII.


      The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, and a need to maintain absolute confidentiality. The incumbent must be a highly motivated and flexible individual who enjoys the challenge of working in a dynamic, fast-paced environment.

      QUALIFICATIONS REQUIRED

      Education:

      Post-secondary degree/diploma or an equivalent combination of education and experience.

      Experience:

      Minimum four (4) years of progressively responsible experience in a senior secretarial or administrative position required, preferably within a post-secondary or government environment. Prior experience working in Indigenous communities (urban, rural, on-reserve). Demonstrated senior secretarial skills/ability in a dynamic senior administrative office. Knowledge of University of Toronto procedures and protocols is an asset. Experience working with Knowledge Keepers is an asset. Experience planning and coordinating events and conferences is strongly preferred.

      Skills:

      Proficiency with MS Office (including Outlook, Word, Powerpoint) and with Office 365; experience with Excel software an asset. Familiarity with systems such as FIS, HRIS, USource, Drupal/website content management systems are strongly preferred.

      Other:

      Strong knowledge of equity, diversity, inclusion, and/or Indigenous education and services offered within post-secondary. Superior oral and written communication, interpersonal, analytical, decision-making and organizational skills. Demonstrated ability to write clear and concise correspondence. Strong customer-service orientation. Demonstrated initiative, accuracy and meticulous attention to detail. Demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature. Ability to organize a heavy and fluctuating workload in a changing environment. Ability to work under pressure and to meet deadlines. Ability to interpret significant amounts of information and organize it appropriately. Ability to work effectively and professionally, both independently and within a team environment. Ability to communicate effectively and professionally within a team environment and with a wide range of individuals across all levels of the University.

      Please note: This is a term position until April 2025.
