Title and Summary
Executive Assistant Overview:
The Executive Assistant for the Ethoca Executive Team will support the Executive Vice President of Ethoca and the entire Ethoca Executive Team. This includes the CTO, Senior Vice President of Sales and Business Development (UK Based) and the Senior Vice President of Product. The successful candidate for the Executive Assistant role will help carry the culture for the global Ethoca team. A high energy, creative, outgoing “people person” with strong trust, integrity and operational skills is desired. The role includes performing general administrative duties such as scheduling of meetings, travel arrangements, expense reporting, calendar management, ordering supplies, maintaining department records including the departmental budget and contract administration support.
Role:
• Perform general administrative duties to support day-to-day operations in such areas as phone coverage, scheduling meetings, completing travel arrangements, expense reporting, maintaining management calendar, taking and distributing meeting minutes, ensuring operational efficiencies and coordination within the groups.
• Prepare communications, reports, presentations, or other assigned documentation.
• Ensure all meeting and technology support is appropriately coordinated for meetings and events
• Administer programs, projects or processes specific to the Human Resources team, and maintain spreadsheets or databases to monitor departmental information.
• Serve as administrative liaison with others within and outside the company.
• Help coordinate facilities support in the Austin office.
• May research special topics and produce reports as assigned.

• Executive administrative experience in a corporate environment interfacing with senior and executive level management
• Keen sense of urgency with a results-driven orientation and proactive mindset
• Excellent relationship management skills with the ability to influence and persuade, to work collaboratively across functions, and to interact effectively with stakeholders
• Ability to prioritize and discern what is truly important
• Ability to think outside the box and solve problems creatively
• Strong computer/ technology skills, including the ability to manage and understand internal systems
• Proficiency in MS office products (Excel, PowerPoint, Word, Outlook); Oracle required
• Accuracy and attention to detail with the ability to multi-task
• Ability to function well in a busy and varied environment and work well under pressure
• Ability to exercise discretion and appropriately handle confidential information
