Acts at the direction of the Executive Leadership to perform administrative or other duties to assist in the success of the organization.
Coordinates and maintains the Executive’s calendar for meetings and appointments to provide optimal utilization of available time. This includes working collaboratively with the other administrative staff throughout the system for scheduling meetings with Executives, Physicians, and other staff.
Plans travel arrangements by scheduling flights, ground transportation, accommodations or other Executive travel needs.
Handles expense report compilation and submission in a timely and compliant manner.
Provides Front Desk or Executive Suite coverage during operating hours or as needed to support the leadership team or office events.
Screens incoming and outgoing mail to reduce paper flow to the extent possible.
Maintains a welcoming and courteous demeanor at all times, must be adept at remaining calm and projecting a professional demeanor, including during difficult or stressful situations.
Demonstrates professionalism in their work, representing Healogics, their Executives, and themselves with excellent work quality and accuracy.
Acts as a brand and culture champion to bring positive change across the organization, and to be an example for others.
Capable of coordinating activity inside and outside of the organization, with Healogics staff, Board Members, financial institutions, hospitals, and other parties.
Proactively coordinates backup coverage for their Executive Leader or the Home Office Executive Suite for any extended time away to ensure consistent coverage. Maintains a collaborative schedule with other Executive Assistants for office coverage.
Exhibits flexibility and teamwork in work habits to ensure a One Healogics mindset.
Maintains safe and orderly office and meeting room spaces, demonstrates pride in keeping the appearance of the Home Office attractive.
Orders office supplies, as needed, to support the Executive team or office staff.
Maintains the files of the Executive leader to provide ready access to correspondence and meeting details.
Supports special project work to support varying organization needs.
Performs other duties as required.
High school diploma or general education degree (GED) required.
College degree or some college background preferred.
3-5 years of office or administrative experience.
Impeccable attention to detail with the ability to work effectively with accuracy in a fast-paced environment with changing priorities.
Effective verbal and written communication skills.
Demonstrates accountability, contributes to team success and takes pride in quality of work recognizing that the end product reflects on the entire organization.
Ability to manage confidential information appropriately, trustworthy with sensitive or private information.
Strong customer service skills providing timely response to e-mails, phone messages, etc.
Ability to manage difficult or emotional situations while maintaining a professional demeanor.
Strong interpersonal skills demonstrating openness to feedback and proactive conflict resolution.
Exhibits sound and accurate judgment in making decisions and includes appropriate people in decision-making processes.
Dependable, reliable, and punctual to organization needs.
Prioritizes and plans work activities with a sense of urgency and strives for optimal time management required.
Ability to sustain a high level of activity and productivity on a consistent basis while taking a new or unique approach to work performance.
Skilled and proficient in the Microsoft Office Suite of products (e.g. Word, PowerPoint, Excel, Teams, Outlook). Demonstrated technical savvy and appetite for using technology in solutions. Capable of creating professional quality files and documents using technology.

The Executive Assistant is responsible for the smooth and effective administration of support services to the Executive Leadership team. The Executive Assistant will handle various tasks, including travel, calendar management, meeting planning, document preparation, as well as written and verbal communication between the Executive and various internal and external parties. Duties include all support necessary operate an efficient and orderly Home Office Executive suite, and acting with a degree of professionalism that represents the Company and Executive team in the highest respects. Executive Assistants may support one or more Executive Leaders in varying needs and capacities.
