Act as a key interface for the Chief Business Officer, collaborating with top 10 and top 20 pharmaceutical companies on strategic partnerships.
Maintain a high degree of professionalism in all interactions, both internally and externally.
Manage the Chief Business Officer’s busy calendar, including scheduling meetings, coordinating travel, and arranging appointments.
Book flights and accommodations and handle all related expense reports and reimbursements.
Provide administrative support to a team that includes 2 Vice Presidents, 2 associates, and 2 additional directors.
Schedule and coordinate team meetings that include Chief Business Officer’s participation, ensuring smooth communication across departments.
Use project management tools like ClickUp to monitor project status and keep the Chief Business Officer updated on key deliverables and deadlines.
Exhibit a strong "peripheral attention to detail," ensuring nothing falls through the cracks and anticipating needs or issues before they arise.
Maintain situational awareness within a fast-paced, startup-like environment.
Assist in coordinating conference registrations and travel logistics for the broader team, in addition to direct support for the Chief Business Officer
- Proven experience as an Executive Assistant for at least minimum of 3 years, preferably within the biotech or startup industries.
- Client-facing experience and familiarity with East Coast hours, including flexibility for early mornings or late evenings as needed.
- Proficiency in tools like Outlook, Microsoft Office, and CRM platforms, plus experience in scheduling for multiple executives. Familiarity with document execution or legal document processes as a plus.
- Strong organizational and multitasking skills, with a high degree of situational awareness.
- Proficiency in using project management tools like ClickUp or similar software is preferred.
- Ability to manage complex schedules and travel arrangements.
- Excellent communication skills, both written and verbal.
