- Act as the office manager for all the administration of the Sales team for Europe, Middle East, Africa and Central Asia ;
- Welcome and host clients, prospects and officials visiting the showroom ;
- Prepare presentations and sales reports ;
- Lead and organize team conference calls ;
- Organize and maintain the calendar for the Vice President EMEA, and necessary follow-ups to meet deadlines ;
- Prioritize incoming & outcoming calls and monitor emails to ensure prompt responses to requests for the Vice President ;
- Prepare travel itineraries and make required reservations (travel, hotels, cars etc.) ;
- Coordinate event planning & marketing activities for the team ;
- Manage customer calls and direct to proper sales team member ;
- Draft letters in multi-language and prepare documents, presentations and reports that require an extended knowledge of several office software ;
- Respond to requests for information, schedules meetings, prepare necessary documentation and ensure follow-up actions are taken ;
- Maintain contacts with various direct reports to the Vice President, as well as members of senior management ;
- Monitor timesheets and holiday absences of the team ;
- Perform other duties as assigned.
- Be able to work in a minimal supervision environment, involving coordination and organization of work methods for the assigned duties.
- Flexible team player able to adapt to international time zones.
- Possess an Associate Degree or equivalent.
- Have more than 5 years of relevant experience or equivalent combination of education and experience.
- Hold previous experience supporting a UHNW family, Sr Executive or Government Official is a plus.
- Master the advanced tools of the Microsoft Office suite, and you have a natural comprehension of computer applications (i.e., SAP, Concur, Excel, Word, PowerPoint, Outlook, Salesforce.com, etc.).
- Have strong oral and written English and French, any additional languages such as Arabic, Russian, Spanish, or German spoken and written (perfect command of terminology, syntax, grammar, and punctuation) is an asset.

We are looking for an Executive Assistant and Showroom Manager who will report to the Vice President Sales, Europe, Middle East, Africa, and Central Asia. To be successful in this role, you will need to gain a thorough comprehension of the sales activities and practices. You will be required to think analytically, exercise sound judgment and discretion, and independently assess and resolve complex situations. You will be able to communicate effectively and articulately with all levels of the organization as well as interact with aircraft owners and representatives of their offices. You will demonstrate flexibility and the ability to calmly manage and respond to multiple priorities and shifting demands while maintaining the appropriate sense of urgency and professionalism. This position will need to provide efficient virtual and remote support dealing in a multicultural international environment.
