      OEO exists to consolidate and improve analytic capacity for the state with the goal of tracking Arizona's key economic indicators.

      Executive Assistant

      Job Location:

      1400 West Washington Street

      Phoenix, AZ 85007

      Posting Details:

      Salary: $65,000 - $80,000

      Grade: 21

      Position will remain open until filled

      Job Summary:

      This position provides technical guidance and administrative expertise to the Director of the Office of Economic Opportunity (OEO).

      Represent the OEO Management Team and/or participate in meetings with other division heads and/or their representatives concerning fiscal control, resources management, and coordination of state and federal programs.

      Act as a liaison to the OEO Director's Office. Coordinates resources within the division and community.

      This position is available for remote work on a full-time basis within Arizona (including virtual office arrangements).

      Job Duties:

      • Performs a range of diverse administrative activities for the OEO Director's Office

      • Serves as the central point of contact with other Divisions and external constituencies in the resolution of various day-to-day matters

      • Assists in administrative problem-solving, program and project planning, development, and execution of stated objectives

      • Provides and oversees support activities, such as answering telephones, maintaining calendars, scheduling appointments and conference rooms, arranging and attending meetings, taking notes, relaying information to internal and external stakeholders, assisting with inquiries, and resolving problems

      • Reviews and controls incoming and outgoing correspondence and follow-up on operational commitments

      • Assists in colleague recognition programs

      • Researches information, compiles statistics, and gathers and computes various data

      • Prepares special reports, summaries or replies to inquiries, selecting relevant data from various sources

      • Monitors timeliness and completion of reports, state plans, and grant applications requiring submission through the Governor's Office and/or DOL and other state/federal agencies

      • Establishes, updates and maintains electronic and physical files, inventories, and records

      • Implements and maintains data management systems

      • Creates, modifies, maintains, and distributes documents and spreadsheets requested by the Director's Office

      • Assists with the operations for the OEO Director's Office, including but not limited to budgets, contracts, and travel reimbursements

      • Reviews and processes procurement requests using the Arizona Procurement Portal, ensuring content is accurate and conforms to requirements

      • Consult with the Director and Management Team regarding program goals, objectives, accountability, and delivery of services

      • Develop monitoring and evaluation procedures to assure the program's conformance and integrity

      Knowledge, Skills & Abilities (KSAs):

      Knowledge:

      • Knowledge of the concepts of program planning and designing, state and federal laws, regulations and trends in employment and rehabilitation programs

      • Good knowledge of state and federal programs and resources

      • Specific knowledge of internal organization, management, business, and public administration practices

      Skills:

      •Skill in strong public relations, oral and written communication skills and the ability to establish and maintain professional working relationships

      Abilities:

      • Ability to develop and implement functional program objectives

      • Ability to review and evaluate program activities analytically and develop effective work plans and methods for improvement

      • Ability to act independently requiring own initiative

      Selective Preference(s):

      • Preferred/ideal candidate will have five years of progressively responsible administrative experience, and background in the development and implementation of improved business practices

      • Develop knowledge of division goals, directives, and policies as acquired through internal training and special assignments, interpretation of federal and state rules and regulations

      Pre-Employment Requirements:

      • In-state travel is required

      • Requires possession of and ability to retain a current, valid state-issued driver's license appropriate to the assignment

      • Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.11.)

      • Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed

      • If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver’s License Requirements.
