      Job Summary:

      The Executive Assistant will provide a wide range of administrative and executive level support to the Vice President - Tax as well as other corporate office executives. The selected candidate will have the ability to handle a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of driving actions to completion.

      Crucial to this role is the ability to interact with staff at all levels in a business environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

      Responsibilities:

      • Manage calendars, requiring interaction with internal and external executives and assistants, and coordinate a variety of complex executive meetings
      • Assist team with preparation of presentation materials and creation of executive level documents quickly and accurately
      • Arrange domestic and international travel schedule and reservations for executive management as needed
      • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
      • Interface with senior management, across organizations, and with internal and external customers
      • Manage corporate tax calendar
      • Effectively manage leader telephone calls including many disruptions – ex. cold-calls
      • Keep executives organized – proactively ensure they have what they need before their day begins (and during)
      • Keep executives on time – ensure they are aware of scheduled commitments throughout the day
      • Provide in-meeting support for various department and executive meetings
      • Communicate and handle incoming/outgoing communications on behalf of executives
      • Willingness and flexibility to work and/or travel outside of normal business hours occasionally as necessary
      • Provide administrative support to other team members as needed
      • Perform other duties as assigned
      • Protect and maintain the privacy of employee personnel records including, but not limited to, personal and compensation information about employees.

      Skills/Competencies:

      • High level of confidentiality, integrity and trust
      • High level of proficiency with MS Office, including Word, Excel, PowerPoint, Outlook, and SharePoint
      • Outstanding PowerPoint skills with the ability to put together presentations knowing the general direction/message and without much oversight
      • Excellent communication skills
      • Strong decision-making ability and problem-solving and prioritization skills
      • Strong customer service skills
      • High level of energy and enthusiasm
      • Demonstrate initiative and identify opportunities for process improvement.
