Job Description

- Provide general administrative support to senior executives.
- Manage Executives’ calendars, including high-volume, daily management for meetings, conferences, and appointments.
- Proactively coordinate look-ahead calendar planning, make independent decisions regarding planning, organizing, and scheduling work within established guidelines.
- Booking of international and domestic travel arrangements.
- Plan, coordinate, and provide on-site support for a variety of conferences, special projects, meetings, and presentations including arranging for venues, room configurations, catering, preparing agendas, identifying audio-visual needs, etc.
- Travel as required to support off-site meetings and conferences.
- Respond appropriately to requests and ensure that deadlines are met.
- Maintain files and correspondence.
- Work collaboratively with other Executive Assistants across the organization on daily matters related to calendar planning and special projects.
- Prepare and submit monthly expense reports.
- Serve as backup to Office Manager and other Office Administrators as needed.
- Communicate effectively and collaboratively with internal and external stakeholders, such as business unit leaders and their administrative teams, vendors and other partners.
- Manage multiple projects and priorities in a fast-paced and dynamic environment.
- Demonstrate initiative, flexibility, and problem-solving skills.
- Demonstrate strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy, adaptability, decisiveness and follow through on a broad range of administrative support tasks.
- At least 3 years of experience in providing executive-level administrative support to several executives at one time.
- Proficient in Microsoft Office Suite, especially Outlook, Word, Excel, SharePoint, and PowerPoint.
- High comfort level with conferencing technology and connectivity.
- Highest level of integrity, with sensitivity and discretion in handling confidential information
- Ability to work flexible days and hours as required.
- Ability to travel, sometimes out of state, to off-site venues for coordination of events. (Approximately 4-6 times per year.)

Description
The Executive Assistant will support the day-to-day operations and initiatives within this team-oriented organization. The Executive Assistant will execute all operational and administrative functions of the office while maintaining the highest level of personal and professional standards and conduct. This role is ideal for an individual who thrives in a fluid environment and who is detail oriented, organized, tech savvy and successful at moving from one priority to another with ease. This role is required to be on-site in Lakewood Ranch most days, and requires the ability to work independently as well as collaboratively, as a team-player within the office administration function.

Base salary ($80,000 – $100,000); annual bonus (tied to Company performance).
