Job Description

- Serve as primary professional staff support for the Fire Chief; conduct research and make recommendations on managerial and administrative problems and concerns; and participate in management-level decision making regarding policies, programs, and actions.
- Organize the Fire Chief’s day-to-day schedule; coordinate meeting and department event logistics; prepare agenda items, materials, and presentations; take meeting minutes.
- Serve as liaison between the Fire Chief and other division directors; act as departmental representative to other departments, federal, state, and local agencies, and with the public, the Mayor’s Office and with the City Council’s staff.
- Monitor preparation of the annual budget; review divisional level budget proposals; prepare materials for, attend, and report on budget hearings. Prepare department weekly, monthly, quarterly, and annual reports. Review and report out information from department data and analytics programs.
- Review all correspondence and requests for information directed to the Fire Chief; distribute correspondence to appropriate divisions for response; track and follow up on correspondence assignments; and prepare memos, correspondence, and reports as necessary.
- Supervise one Administrative Specialist III; assign tasks and monitor workload; evaluate performance.
- Implement and manage special projects as needed.
- Other job duties as assigned.
- Advanced experience in Microsoft Word, Excel, Power Point, Microsoft One Note and Outlook.
- Experience in Power BI, Tableau, and other data analytics programs.
- Proficiency in Adobe Acrobat and Adobe Sign.
- Excellent writing, editing, and proof-reading skills.
- Excellent organizational skills with the ability to handle multiple projects simultaneously, and with frequent interruptions.
- Ability to self-start and work with limited supervision.
- Excellent communication and customer service skills.
- Experience working in a paramilitary or public safety environment.
The Seattle Fire Department is seeking a Senior Executive Assistant to support the Fire Chief’s Office. This position will provide complex, confidential, and sensitive executive level support to the Fire Chief.
This position works out of the Seattle Fire Department Headquarters. An in-office schedule which conforms to the Headquarters’ operating hours (Monday-Friday, 8:00AM-4:30PM) is required.
