Manage CEO schedule, including meetings, travel, and events, and ensure priorities are addressed with minimal conflicts.

Screen, organize, and respond to email communications in a timely manner.

Prepare briefing materials and talking points for meetings, presentations, and public engagements.

Draft, proof, and edit internal and external communications, reports, presentations, and meeting materials.

Draft contracts for the CEO and organization.

Support internal communications to ensure alignment with CEO vision and organizational goals.

Maintain and enhance filing systems and digital records for efficiency and accessibility.

Utilize AI and digital tools to automate tasks, streamline workflows, and improve productivity.

Plan and coordinate logistics for board meetings, including scheduling, material prep, note-taking, and follow-up.

Maintain board records, track action items, and ensure timely accountability.

Coordinate board communications and prepare executive correspondence and reporting as needed.

Assist in building positive and strategic relationships between the CEO and board members.

Prepare meeting briefs and background information to support CEO donor interactions.

Enter meeting notes, donor activities, and follow-up actions into CRM systems promptly and accurately.

Draft correspondence, thank-you messages, and donor follow-up communications.

Track donor engagement and ensure timely follow-up.

Coordinate scheduling, logistics, and preparation for donor meetings and events.

Help steward donor relationships by maintaining organized, up-to-date records.

Draft, review, and edit contracts, agreements, and memoranda under CEO direction.

Coordinate contract review and approval processes with internal staff and external partners.

Maintain organized digital files for all agreements and legal materials.

Serve as point of contact for contract-related communication, escalating to CEO as needed.

Serve as liaison between the CEO, staff, partners, board members, and external stakeholders.

Plan and coordinate internal and external meetings, events, and travel logistics.

Represent MCN with professionalism and a commitment to advancing the organization's mission and values.

Minimum five (5) years supporting a C-level executive or senior leadership team; nonprofit or mission-driven experience preferred.

Exceptional organizational and time-management abilities with the capacity to independently prioritize and manage multiple tasks.

Strong written and verbal communication skills; bilingual English/Spanish preferred.

Proficiency with Microsoft Office Suite, Zoom, collaboration platforms, and AI-augmented productivity tools.

Experience coordinating board activities, donor communications, and high-level administrative operations preferred.

Prolonged periods of sitting and computer-based work.

Occasional travel may be required based on organizational needs.
The Deamer Group is partnering with Migrant Clinicians Network (MCN), a 501(c)(3) national nonprofit founded in 1984, to hire a full-time Executive Assistant.
MCN builds practical solutions at the intersection of migration, vulnerability, and health. Through training, technical assistance, resource and tool development, and opportunities for connection, we support tens of thousands of health care providers, community health workers, outreach teams, and other clinicians across the United States and Puerto Rico. We also provide direct care coordination to migrants, immigrants, and other underserved and historically marginalized communities.
Our life-saving work is powered by a diverse and passionate team committed to health justice. Most of our staff work remotely, with offices located in Salisbury, MD, and San Juan, PR.
Reporting to the Chief Executive Officer, the Executive Assistant provides high-level administrative, operational, and strategic support, enabling the CEO to focus on leadership, organizational growth, and stakeholder engagement. The role manages communications, scheduling, board support, donor relations, contracts, and project coordination with a high degree of professionalism, confidentiality, and efficiency. This position may be remote or hybrid based on location.

Starting Salary $62,000 per year
