      SUMMARY
      The Executive Assistant to the President and Chief Executive Officer (“Aistente Ejecutivo”) provides high-level administrative support to the President and CEO of Evans Hotels. This role ensures seamless operations and executive efficiency, encompassing complex calendar management, meeting coordination, and comprehensive travel planning while occasionally supporting other C-suite executives.
      Acting as a critical liaison between the CEO and key internal and external stakeholders, the Executive Assistant manages confidential communications, prepares reports, and ensures the accuracy of essential records. Other responsibilities include managing project deadlines and deliverables and ensuring compliance with legal and business documentation.

      This position will work closely with other executive assistants to ensure operational efficiency. Operating in a fast-paced, high-stakes environment, this position demands professionalism, independence, and a commitment to maintaining the highest standards of efficiency and confidentiality. With a keen ability to anticipate needs, adapt to dynamic business environments, and leverage technology effectively, this role requires exceptional organizational skills and discretion.

      ESSENTIAL DUTIES

      • Provide high-level administrative support primarily to the President and CEO, ensuring seamless daily operations, while occasionally assisting other executives in the office as needed.
      • Manage the President and CEO's complex calendar, scheduling appointments, coordinating commitments, and handling last-minute changes with discretion.
      • Answer and screen telephone calls, act as a gatekeeper, and arrange conference calls as necessary.
      • Work closely and effectively with the President and CEO to keep them informed of upcoming responsibilities and ensure they are prepared for meetings and engagements.
      • Book and manage travel arrangements for the President and CEO, ensuring meticulous attention to detail, clarity, and flawless execution of travel plans, while occasionally assisting other executives' travel needs as well.
      • Adapt to the President and CEO and other Executives' business styles and preferences, providing proactive and strategic administrative support.
      • Anticipate and proactively address the President and CEO's needs and expectations, ensuring optimal efficiency and support.
      • Engage professionally with key stakeholders, including board members, executives, and external partners, representing the President and CEO in a professional manner.
      • Complete and manage expense reports, reimbursements, and financial tracking related to the President and CEO's activities.
      • Develop and maintain strong communication with other Executive Assistants, collaborating on scheduling, providing backup support, and ensuring a cohesive workflow within the executive team.
      • Draft, edit, and proofread correspondence, reports, and presentations with the highest level of accuracy and professionalism.
      • Coordinate and prepare executive-level meetings, ensuring agendas, materials, and logistics are efficiently managed.
      • Diligently capture meeting minutes, ensuring precise and timely documentation of key discussions and actions.
      • Handle payroll-related tasks for administrative support teams, approving electronic timecards, managing meal and rest breaks, and overseeing sick and vacation requests as needed.
      • Organize and maintain filing systems for correspondence, records, and confidential documents.
      • Greet and direct visitors to appropriate personnel, ensuring a professional and welcoming experience.
      • Demonstrate technological competence and resourcefulness, especially under high-pressure situations.
      • Maintain legal and business-related documents, ensuring compliance and proper record-keeping.
      • Notarize documents for the President and CEO as required.
      • Work independently in a quiet environment, demonstrating self-motivation and the ability to excel under variable workloads.
      • Ensure adequate office coverage during business hours (Monday through Friday 8:00 AM to 5:00 PM) adapting as needed to operational needs.
      • Perform additional duties and responsibilities as directed by the President and CEO, as well as tasks for other executives as necessary.

      QUALIFICATIONS

      • Bachelor's degree from four-year college or university or any equivalent.
      • At least 4 years of relevant experience and/or training.
      • A combination of experience, education, and/or training may be substituted for either requirement.
      • A notary license is preferred or must be obtained within six months of employment. The company will cover the costs associated with obtaining the license.
      • Must be available to work on-site Monday through Friday, with office hours scheduled between 8:00 AM and 5:00 PM. Additional hours may be required on a case-by-case basis as needed.
      • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, SharePoint, and PowerPoint.
      • The ability to quickly adapt and utilize emerging technologies such as ChatGPT, other forms of AI.
      • The ability to quickly learn new property technology systems as they are introduced.
      • Ability to always maintain a friendly, professional, team-oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.
      • Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.
      • The following position will be filled in accordance with the process set forth in California Labor Code Section 2810.8 and San Diego Municipal Code 311.0101 et. seq.

      **The pay scale posted is the salary or hourly wage range that the employer reasonably expects to pay for the position during the first year of employment.
