- Administrative Support
- Manage the Provost’s calendar, including scheduling and coordinating internal and external meetings, rehearsals, performances, and travel.
- Prepare agendas, take and distribute meeting notes, and track follow-up actions.
- Screen and prioritize email and phone communications; draft correspondence on behalf of the Provost.
- Office Operations
- Serve as the point of contact for the Provost’s Office, providing exceptional service to faculty, staff, students, and external partners.
- Maintain accurate records, track deadlines, and manage confidential files and information.
- Coordinate logistics for internal events, committee meetings, retreats, and special projects led by the Provost.
- Strategic Coordination
- Monitor progress on strategic initiatives across academic and student affairs; help ensure follow-through on institutional goals.
- Support cross-functional collaboration by liaising with department heads, faculty leadership, and senior administrators.
- Assist in the preparation of board reports, institutional planning documents, and campus-wide communications.
- Project and Task Management
- Maintain task lists and timelines for key projects originating in the Provost’s Office.
- Conduct basic research, compile data, and prepare briefing materials to support decision-making.
- Track and organize academic policies, institutional planning materials, and internal procedures.
- Bachelor’s degree required; background in arts administration, higher education, or a related field preferred.
- Minimum of 3–5 years of administrative experience supporting a senior executive, preferably in an academic or non-profit environment.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities under tight deadlines.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and integrity.
- Proficiency with Microsoft Office Suite and Google Workspace; experience with project management or scheduling tools a plus.
- A strong interest in or commitment to the performing arts and arts education.

Position Summary: The Executive Assistant to the Provost is a key administrative partner and trusted advisor to the Provost and Chief Academic Officer. This role requires a highly organized, detail-oriented, and proactive individual who can manage complex scheduling, facilitate communication across departments, coordinate daily operations, and anticipate needs in a fast-paced, mission-driven environment. Salary and Benefits: This is a full-time, exempt position with an annual salary range of $55,000–$65,000, commensurate with experience. The Colburn School offers full health benefits (medical, dental, vision), paid time off, and a generous matching 403(b) retirement plan.
