- Apprise the Superintendent of significant issues and developments, providing context and recommendations when appropriate.
- Support the Superintendent by managing daily operations, responding to priority issues, maintaining the executive calendar, and scheduling appointments.
- Facilitate effective communication and coordination between the Board of Trustees and Executive Administration; serve as a reliable resource to the Board by providing timely information and support.
- Prepare and maintain BoardBook agendas and materials for regular and special Board meetings; post legally compliant meeting notices and maintain accurate minutes.
- Attend Board meetings (which may extend into the evening) to provide support, take notes, and post draft and approved minutes as required.
- Coordinate logistics for Board meetings and related travel for Board members and the Superintendent, including reservations, registration, and reimbursements.
- Maintain records of Board of Trustees’ continuing education, including tracking credits and submitting required training reports.
- Assist with NBISD Trustee and Special Elections.
- Draft and prepare correspondence, reports, and official documents for the Superintendent and Board of Trustees.
- Monitor, track, and follow up on projects, decisions, and required actions; collect relevant data to support executive decision-making.
- Assist with budget monitoring, maintain accurate financial records, and manage the annual budget for the Superintendent’s office and Board of Trustees.
- Serve as liaison to staff, parents, the public, outside agencies, and the Board; greet visitors, answer calls, and coordinate responses with campuses and departments.
- Communicate with TEA, school attorneys, agencies, and third-party vendors as necessary.
- Organize and manage the daily operations of the Superintendent’s office; maintain organized physical and digital filing systems.
- Plan and coordinate special events for the Superintendent, Board of Trustees, and district leadership.
- Demonstrate regular and prompt attendance.
- Perform other duties as assigned.
Primary Purpose:
Serve as the primary staff contact supporting the Board of Trustees and Superintendent by coordinating schedules, facilitating communication, organizing meetings, and ensuring they are well-informed. Represent the Superintendent in daily decision-making, problem-solving, and support for senior staff and direct reports. Operate with minimal supervision to manage the superintendent’s office efficiently, handle confidential information, and maintain frequent communication with district employees, external agencies, and the public, while providing on-site leadership for assigned clerical staff.
Qualifications:
Education/Certification:
Graduation from an accredited high school or GED (college hours preferred)
Progressively responsible experience in administrative support work for an executive position
Three years or more advanced secretarial experience with extensive contact with people
Experience supporting board meetings and the governing body of a governmental entity (preferred)
Local governmental entity elections experience (preferred).
Special Knowledge/Skills:
Proficient in word processing, data entry, file maintenance
Basic bookkeeping/accounting principles
Ability to maintain accurate, auditable administrative, financial records
Skilled in developing spreadsheets, managing databases, preparing presentations, and using email and internet applications
Strong business writing, editing, and proofreading skills
Knowledge of school district organization, operations, and administrative policies
Ability to read and comprehend instructions, correspondence, and memos
Excellent organizational, communication, interpersonal, and public relations skills
Ability to maintain confidentiality and exercise sound judgment
Capable of making independent decisions related to planning, organizing, and scheduling
Demonstrated ability to manage multiple complex administrative tasks simultaneously
Knowledge of election code processes and deadlines is preferred.Experience:
