      The opportunity

      Our People & Culture team provides expertise in recruitment, compensation and benefits, talent management, performance management, organizational development and learning.

      We are looking for an Executive Assistant to join the People & Culture team during an exciting time of transformation and evolution. This role will be responsible for providing administrative support to the Head of Global Total Rewards and be accountable for coordinating the overall administrative support for the department.

      Who you’ll work with

      You will engage with EA’s across the different divisions for any support. You will also work with all levels and departments across the organization as well as key external partners.

      What you’ll do

      This position will function with minimal supervision and will apply a high degree of independence, tact, initiative, discretion and judgment.

      • Develop, edit, and finalize executive presentations for committees and meetings

      • Schedule meetings, luncheons, arrange travel, book conference rooms, order catering and set-up meeting rooms along with taking meeting minutes when required

      • Provide operational support for the delivery of Total Rewards processes and initiatives

      • Monitor budgets for the Total Rewards team

      • Build and maintain department planning documents and program calendars

      • Prepare and file documents as requested

      • Reconcile and process invoices, deliver to A/P for payment on a weekly basis; follow up if there are issues with payment

      • Work with the Total Rewards team to coordinate education/training sessions: Create & amend room bookings, set up the room, and coordinate catering

      • You will provide an excellent customer service experience

      • Provide meeting booking and expense reporting support to the Director of Transformation and Director of People Operations

      • Collaborate and engage with other P&C coordinators & EAs as needed

      • Other duties as assigned

      What you'll need

      • Post-secondary education with a minimum of 5 years of administrative experience

      • Familiarity with an HRIS (e.g. Workday) as an end-user an asset

      • Advanced knowledge of Microsoft Office Suites with the ability to build Power Point presentations & manage Excel spread sheets, and working experience with Outlook

      • You have passion for partnering with others and have the ability to work independently

      • Ability to balance multiple tasks and manage your time
