      Job Description

      We are looking for an Executive Assistant

      The Executive Administrative Assistant will provide high quality administrative support to members of our Business Development and National Accounts senior leadership team, as well as the broader Business Development and National Accounts teams. To be successful in this role, you must be detail oriented; take initiative; adaptable; work well with complexity & ambiguity; build strong relationships; work independently in a fast-paced environment, and exercise discretion while managing confidential information.

      The ideal candidate is highly self-motivated, professional, and able to make decisions within the scope of accountability while keeping leaders informed.

      What you will do

      • Manages calendar for a team of leaders, which requires interaction with both internal and external parties
      • Coordinates and makes arrangements for meetings and events
      • Organize schedules and correspondence, independently follow-up on action items, maintain files, and prepare correspondence
      • Ability to preserve confidentiality and demonstrate sound judgment regarding sensitive matters
      • Determine priorities while dealing with conflicting deadlines, in a fast-paced environment
      • Evaluate and revise priorities & schedules when unexpected situations arise, using initiative, independent judgment, and tact
      • Prepares, monitors, manages expense reconciliation and submission
      • Coordinates domestic and international travel for leaders
      • General office duties including supplies and equipment maintenance for the Executives and the general executive offices
      • Acts as back up for other Executive Assistants and/or Administrative Coordinators when required

      What you will bring

      • Minimum 5 years’ administrative support experience in a business or financial services organization
      • Post-secondary education, or a combination of education and work experience
      • Excellent decision-making, analytical and problem-solving skills
      • Demonstrated customer service mindset
      • Ability to build and manage trusting relationships with all business partners
      • Exceptional Microsoft Office365 skills (Outlook, Word, Excel, Access, Teams)
      • Excellent interpersonal and communication skills, both written and verbal to interact with a wide variety of individuals
      • Demonstrated strong organizational capabilities with the ability to handle multiple priorities and fluctuating workloads, while adhering to strict deadlines
      • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
      • Demonstrated business judgment, flexibility, initiative, creativity with a positive professional attitude and image
      • Self-starter with the ability to work independently, as well as part of a team

      Given the size and scope of our organization, we have the flexibility for this position to be located in the following head office locations: Toronto, London, Winnipeg.
