      Program Overview:

      As the Executive Office Assistant, reporting to the Director - Executive Office & Administration, you will be an integral part of the small team that supports the CEO/President, Executive Office, and overall experience of everyone who visits or interacts with the Henry Street Headquarters. You will assist in daily office operations, general administration, and frequent special projects to ensure the team members, clients, participants, board, and community members who reach out to Henry Street Settlement are treated in a professional and courteous manner, are heard and supported, and are regularly followed up with. To be successful in this role, you must have exceptional interpersonal and organizational skills and be prepared to work in a very busy office with competing priorities everyday. You must have a commitment to and passion for the human service field, and want to grow into a career in the nonprofit sector.

      Qualifications:

      • High School Diploma or equivalent required; high preference for some college experience
      • 2+ years of general office experience required
      • Must have professional experience taking minutes/notes for important meetings and events with the ability to document and articulate key items within conversations
      • Previous data entry and filing system organization experience preferred
      • Good business writing, proofreading and editing skills, computer literacy, and proficiency in Microsoft 365 and Google Suite
      • Good judgment and problem solving skills
      • Strong organizational, communication and interpersonal skills
      • Courteous, friendly and professional manner
      • Ability to work independently and meet deadlines
      • Ability to maintain confidentiality
      • Ability to handle multiple tasks and stay calm under pressure
      • Detail-oriented, focused and reliable

      Responsibilities:

      • Assist with preparing materials and the coordination of meetings involving the President/CEO; including meetings of the Board of Directors, Leadership Team, All Team, and other internal high-level meetings
      • Draft clear and detailed minutes during Board of Directors and Leadership Team meetings
      • Process, scan and distribute electronic and mailed government contracts and private donation materials received in the office
      • Enter memos-to-file in Raiser’s Edge
      • Answer phone and follow up on messages for the President/CEO
      • Manage petty cash and corporate AMEX, purchase orders, check requests, and expense reports
      • Maintain office supplies and equipment
      • Maintain office filing system
      • Assist with light office maintenance; e.g. light cleaning of President/CEO desk, stock refrigerator, reset chairs after meetings, etc.
      • Coverage when any member of the Executive Team is out
      • Assist with the coordination of special events held by the executive office
      • Other related duties as requested by President/CEO or Director - Executive Office & Administration

      Essential Physical Job Functions:

      • Vaccinated against COVID-19
      • Must be able to read, write, type and use phone systems/computer
      • Ability to work onsite in the Lower East Side
      • Ability to climb stairs in a landmark building, lifting up to 40 pounds, reaching, and bending
      • Comfortable working in an office space that has a dog
