      Work Arrangement: On-Site Monday through Thursday

      We are seeking a highly organized, proactive, and versatile individual to serve as the Executive Operations Coordinator. This unique position will provide high-level support to C-Suite and senior executives, ensuring the smooth and efficient operation of the office. The ideal candidate will be a master of prioritization, possess exceptional communication skills, and thrive in a fast-paced, dynamic environment. This role requires a blend of strategic thinking, project management expertise, and hands-on administrative and operational support.

      Pay Transparency:

      The anticipated starting salary range for New York-based individuals expressing interest in this position is $75,000-$80,000 a year.

      Salary to be determined by the education, experience, knowledge, skills, abilities and location of the applicant, as well as internal and external equity.

      Responsibilities

      What You'll Do:

      Executive Support & Office Operations:

      • Manage and prioritize schedules for select executives, including calendar coordination, travel arrangements, and expense processing.
      • Prepare briefing materials, presentations, and reports for executive meetings, QBRs, and strategic events.
      • Track and follow up on meeting action items, ensuring timely completion and clear communication with stakeholders.
      • Facilitate the execution of strategic initiatives by supporting cross-functional collaboration, monitoring project progress, and resolving potential roadblocks.
      • Represent the executive team in internal meetings and communications as needed to maintain alignment and transparency.
      • Serve as the primary on-site support for the CEO in the New York office, ensuring smooth daily operations and a professional office environment.
      • Coordinate catering and logistics for large meetings in collaboration with the Executive Assistant and relevant stakeholders.
      • Welcome and escort guests, manage security access, and ensure visitors are informed of available amenities such as restrooms, elevators, and the cafeteria.
      • Prepare and maintain meeting spaces, ensuring cleanliness, AV/IT setup, and seamless virtual connectivity.
      • Assist in planning and coordinating internal events, including employee engagement activities.
      • Perform additional administrative and operational duties as needed.

      Operational Efficiency & Project Management:

      • Lead and manage special projects and initiatives, ensuring timely completion and alignment with strategic goals.
      • Organize and facilitate team meetings, including agenda development and minute recording, while also ensuring action items are tracked and clear meeting takeaways are communicated for effective follow-up.
      • Partner with the facilities team on workplace operational needs.
      • Partner with internal communications, ensuring clear and consistent messaging across all departments and cascade noteworthy internal communication material to the internal communications department for distribution.
      • Partner with HR on various tasks and initiatives to support the employee life cycle specific to the revenue organization, including onboarding and offboarding assistance, maintain org chart, facilitating the summer internship program, career fairs, and managing the mentorship program.
      • Lead the Revenue Org Employee Engagement Committee, including assisting with communicating results, employee of the month recognition, and the Audacy book club.

      Qualifications

      Qualifications:

      • Bachelor's degree preferred.
      • 3-5 years of experience in an Executive Assistant, Administrative Assistant, Operations Coordinator or similar role supporting senior-level executives.
      • Exceptional organizational and time-management skills, with a proven ability to prioritize and manage multiple tasks simultaneously.
      • Excellent written and verbal communication skills, with the ability to interact effectively with individuals at all levels.
      • Strong problem-solving skills with a solutions-oriented mindset and the ability to work independently with minimal supervision.
      • Polished, confident, and professional demeanor with a high level of emotional intelligence (EQ).
      • Highly detail-oriented, organized, and punctual, with a strong ability to manage multiple priorities effectively.
      • Technologically savvy with experience using Google Workspace (Docs, Sheets, Slides, etc.) and familiarity with AI tools and platforms.
      • Ability to handle confidential information with discretion and professionalism.
      • Proactive and resourceful with a strong work ethic.
      • Ability to adapt to changing priorities and work in a fast-paced environment.
      • Experience in the media industry is a plus.
