      Vacancy: Personal Assistant, Supporting Two Members of the Clean Air Leadership Team
      Location: UK – Royston, Hertfordshire

      As a Personal Assistant you will provide a comprehensive, confidential and professional end to end administration support to two members of the Clean Air Leadership Team. You will work closely with the other members of the Clean Air PA Team, under the guidance of the Executive Assistant to the Clean Air CEO.

      Your responsibilities:

      • Communicate directly and on behalf of the Clean Air Directors, building strong, positive relationships with their internal and external stakeholders.

      • Working well in a collaborative team environment with the other Clean Air PA’s, the wider EA’s and Admins throughout JM, always happy and willing to support them where necessary.

      • Assist the Clean Air Directors and their teams with daily administrative duties, completing a broad variety of administrative tasks that include ,but not limited to, managing active complex calendars; completing expense reports; invoicing/receipting via SAP, composing and preparing correspondences; arranging complex and detailed travel plans, itineraries and agendas, organising team events and conferences, compiling documents for meetings and other adhoc duties.

      • Plan, coordinate and ensure the Clean Air Directors schedules is followed and respected and provide "gatekeeper" and "gateway" role, pro-actively keeping on top of diary clashes and managing their time effectively and efficiently to give them a healthy balance between calls, emails and 1-1 time with their teams.

      • Prepare and administer meeting documentation and materials, ensuring quality of inputs prior to meetings, supporting structured agendas, and, where required, produce and distribute minutes and post-meeting material

      • Prepare accurate, high quality external and internal correspondence, prepare reports and presentations

      • Arrange for relevant travel bookings and visa applications (where necessary), ensuring itineraries are time efficient and cost effective and reconcile expense reports

      Requirements for the role:

      • Excellent administration experience supporting multiple directors within a similar working environment

      • Demonstrable experience of complex diary and travel management for multiple directors

      • Have advanced knowledge of Microsoft Word, Outlook, Excel and PowerPoint

      • Detail orientated and the ability to work to high work standards.

      • Working within a team, and proven ability to plan, organize and to deliver high quality outputs within deadlines

      • Excellent communication skills both written and verbal.

      • Autonomy, and proven ability to plan, organize and to deliver high quality outputs within deadlines you will be confident, efficient and approachable with the ability to remain calm under pressure.
