OKCPS Central Office - Assists with the coordination of major events.
- Schedules appointments, room reservations, meetings, and travel arrangements.
- Receives calls, greets visitors and employees as they enter the office/department.
- Assist school site or other departmental staff with adding student-specific information to the (SIS) Student Information System in regard to address changes and other information, particularly during enrollment.
- Provides Parent support for SIS portal requests such as change of address
- Provide support to school staff for processing applications and student data changes when necessary
- Responsible for processing requisitions as needed, goods receipt of invoices, time sheets, etc. for all Information Technology related purchases including Technology related Bond purchases
- Responsible for IT specific billing including cell phones, school site phone and internet, ensuring line-items are split appropriately among sites or departments
- Reconciles pro-card statements and office travel.
- Performs address verification before adding address to (SIS) Student Information System database
- Prepares correspondence, memos, reports, proposals and letters maintaining confidentiality when necessary.
- Resolves non-routine problems in a thorough and timely manner; uses discretion and knows who to go to in order to resolve issues and complete tasks. Requires analysis and interpretation of situation and selection of approach to situations.
- May be timekeeper for office and assists Executive Director with absence management system for IT departments
- Associate’s degree in business administration, communications, or related field.
- Minimum of 3 years of experience in an executive administrative support role, preferably in an educational or public sector environment.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Exceptional written and verbal communication skills.
- High level of discretion, professionalism, and ability to maintain confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative software.
- Ability to work independently and collaboratively within a fast-paced environment.
- Strong problem-solving skills and adaptability to evolving priorities.
- Bachelor’s Degree
- Experience supporting senior executives in a large organization.
- Familiarity with school district operations, policies, and procedures.
- Knowledge of project management principles and tools.
- Must have adequate manual dexterity to write legibly and perform required duties on the computer.
- Must have adequate visual acuity to read, interpret and transcribe written material and other required duties.
- Requires normal range of hearing and clear speaking abilities to interact appropriately with others in person and on the telephone.
- Requires some stooping, bending, stretching and occasional lifting not to exceed 25 pounds.
- Sitting for prolonged periods of time.
- Proficient in using technology for effective communication and program management.
- May periodically require work outside of normal business hours, including weekends, under sometimes, stressful conditions in order to meet business needs and strict deadlines.

Executive Secretary - IT Services
Position Summary:
Provides secretarial and administrative support for the Informational Technology Department as a whole including sub-departments such as Client Services, Network Services, Student Information Systems and Operations. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produces documents of various levels of complexity, ranging from plain copy typing to manipulating data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget, managing calendars and appointments, event and meeting planning.
