      Position Overview

      The Illinois Department of Transportation is seeking to hire an Executive Secretary III position. Under direction of the Chief Internal Auditor, the successful candidate will perform highly responsible, complex secretarial and administrative duties exercising considerable independent judgment in making administrative and office management determinations. This position maintains good public relations and performs confidential liaison activities for the Chief Internal Auditor regarding program responsibility.

      Essential Functions

      • Performs secretarial and other administrative duties for the Chief Internal Auditor.
      • Consults and advises the Chief Internal Auditor on departmental methods, procedures, and interpretations of departmental policies and programs.
      • Receives visiting officials, representatives, and departmental heads as required.
      • Prepares and/or reviews correspondence (letters, memoranda, statistical data, graphs, etc.) for the Chief Internal Auditor and staff.
      • Coordinates issuance of requests for information, audit initiations, potential audit findings, and draft/final reports.
      • Records all appointments and correspondence for the Chief Internal Auditor reminding them of upcoming appointments and meetings and ensuring the preparation of the necessary correspondence, reports, and materials for the meeting.
      • Maintains and reconciles staff timekeeping.
      • Performs other duties as required or assigned that are reasonably within the scope of the duties enumerated above.

      Minimum Qualifications

      • Knowledge, skill, and mental development equivalent to completion of two years of secretarial or business college and three years of secretarial experience OR completion of high school and five years of secretarial experience.
      • Ability to keyboard 55 wpm accurately.

      Preferred Qualifications

      • Prefers skill in working with computers and keyboarding accurately.
      • Prefers experience with tracking and managing budgets and expenditures.
      • Prefers skill in taking notes and dictation accurately.
      • Prefers experience with timekeeping.
      • Prefers ability to communicate clearly and effectively both orally and in writing.
      • Prefers thorough knowledge of composition, grammar, spelling and punctuation.
