      Job Details:

      Job Summary:

      Responsible for assisting Program Managers in execution of multiple program tasks. Provides timely analysis, evaluation and reporting for both internal and external stakeholders. Supports the program management staff in the preparation of deliverables, internal reports, briefings, and other requirements associated with the project being supported. This position typically works under general supervision and direction. Incumbents in this position will regularly exercise discretionary and substantial decision-making authority.

      Essential Job Duties and Responsibilities:

      • Manages the administration of programs in accordance with the contract, policies, procedures and department instructions
      • As required, establishes and maintains folders and repositories ensuring document control and tracking
      • Works closely with engineering and/or program management organizations to develop and provide integrated program schedules, financial baselines and monthly internal/customer performance reports as required
      • Performs maintenance and analysis of schedule baseline, including change control, statusing and forecasts
      • Performs program analysis to identify and report program schedule risk to senior management and program personnel as required
      • Supports the program managers in ensuring contracts are met in the most efficient and profitable manner
      • Supports program execution to meet technical performance within cost and schedule
      • Supports and monitors all elements of the assigned program activities from inception to completion which may include proposal development, product design, procurement, subcontracting, testing, delivery, installation and acceptance of the products and/or service
      • Supports the program managers in performing the following tasks: monthly status reports; filing documents; liaises with other Company support groups; Program Management Review (PMR) slides; provides meeting logistic support, including the development of agendas, phone contacts, meeting minutes and action item tracking; booking of accommodation and/or transportation, and any other logistics as required
      • Provides key information in the development of customer presentations
      • Supports early or on-time deliveries of all required project/program documentation (CDRLs, etc.).
      • Monitors programs’ Action Items (AI) lists and supports timely completion of open AIs
      • Performs financial management tasks, which may include invoice generation, preparation of information for the cost estimation team, SAP administration
      • Report on risk management to help identify risk reduction on assigned programs
      • Escalates any issues to the program manager with sufficient lead for timely resolution
      • Coordinates and/or assists with proposal development, statements of work, specification development and major subcontract management
      • Provides support and guidance to more junior members of the team

      General Duties and Responsibilities:

      Minimum Job Requirements:

      Qualifications

      Essential:

      • Certificate / Diploma in Project Management or other related discipline, or equivalent experience

      Skills/Experience/Knowledge

      Essential:

      • 6+ years’ experience performing project administrative / coordination duties
      • Experience of demand management and schedule management
      • Strong experience working with SAP
      • Strong knowledge of project management processes and tools
      • Skilled user of SharePoint, MS Project and MS Office, MS Suite (Word, Excel, PowerPoint, etc.)

      Desirable:

      • Experience utilizing Primavera (P6) or similar project management software
