      Our ideal candidate

      Our ideal candidates are effective communicators, have good time management skills, display close attention to details, are able to manage competing priorities and manage work accordingly under the supervision of their executive.

      These candidates should work with a solutions focus, using knowledge, creative thinking and sound judgement to manage various types of issues/situations that arise. Under limited direction, they may undertake some basic research and analysis activities, as well as additional ad hoc tasks at the discretion of the executive.

      Duties and responsibilities

      The Executive Assistant (EA) job role covers a range of duties and activities in support of all executive levels of the Department of Home Affairs (the Department) and the Australian Border Force (ABF). The role manages the administration and workflow of an executive and may provide mentoring and guidance to other EAs.

      At the APS 3 level candidates will be expected to possess the following capabilities:

      • Undertake diary management, including prioritising time and drawing attention to matters of importance.
      • Address routine, straightforward telephone and email enquiries and independently respond to internal and external queries.
      • Under general supervision and direction, prepare agendas and meeting material. Record meeting minutes, outcomes and decisions for internal and external meetings as well as committees and forums.
      • React quickly and flexibly to any change in the executive's schedule, including rescheduling to achieve the required outcomes.
      • Undertake other administrative tasks and ad hoc activities for the executive as required.
      • Arrange and coordinate meetings with internal and external stakeholders and coordinate venue bookings, audio visual equipment and other meeting resources as required.
      • Liaise with stakeholders and assist with resolution of straightforward matters.
      • Deliver effective customer service and provide quality, accurate and consistent advice to stakeholders.
      • Act as a first point of contact including greeting visitors, receiving and responding to phone calls, emails and correspondence, ensuring a high level of customer service to all staff and external parties.
      • Maintain filing and database systems, seeking improvements where possible.
      • Contribute to project-based work.
      • Contribute to a healthy and safe working environment, modelling ethical behaviour and practices consistent with the APS Code of Conduct and APS Values.

      Additional information

      Note this role does require working outside standard core hours and the location will be dependent on the location of the Senior Executive, primarily ACT.

      Eligibility

      To be eligible for the position you must be an Australian Citizen.

      The successful candidate will be required to obtain and maintain a Baseline Vetting (AGSVA) security clearance and an Employment Suitability Clearance (ESC).
