Job Description

- Provide administrative support to the Sales, Catering & Event Managers.
- Establish and maintain accurate filing systems.
- Answer phone calls gathering and uncovering client needs and relaying messages to appropriate Sales/Catering Manager.
- Schedule meetings as requested.
- Build and maintain group blocks in CI/TY and MARSHA systems.
- Enter room lists as well as changes, cancels as needed. Pull lists when needed.
- Print/send pre/post pick up reports
- Ensure proper billing of all reservations and group blocks.
- Make individual reservations as requested.
- Update group block projections as needed and balance inventory between CI and MARSHA
- Create parking passes, breakfast vouchers, drink vouchers, send amenities with notes, assign rooms to specific reservations
- Create master accounts for all group blocks
- Reconcile inventory discrepancies on daily basis
- Create and send reports and requested.
- Operate standard office equipment and systems; Microsoft Office, Google Docs, Excel, Word, PowerPoint, Adobe.
- Develop and maintain positive working relationships and maintain confidentiality of proprietary information.
- Utilize available resources to provide excellent customer satisfaction.
- Requires knowledge and adherence to hotel policies and procedures including those of the Sales/Catering department.
- Must be able to work well and communicate with all departments
- Superb time management skills with the ability to prioritize a multitude of projects while staying organized.
- Order office supplies when requested
- Perform other duties as requested by the management team.
- At least 1 year hotel administrative experience or any combination of similar education and experience.
- Strong computer skills with current business software products.
- Marriott Hotel Systems experience a plus.
- Must be able to effectively communicate both verbally and written, with all levels of employees and guests in an attentive, friendly, courteous and service oriented manner.
- Must be effective at listening to, understanding, and clarifying concerns raised by guests/customers or sales & catering team.
- Must be able to multitask and prioritize department needs and deadlines.
- Demonstrate strong time management skills
- Must be available to Monday – Friday. Some evenings may be requested, but very limited.
