      Your opportunity:

      The Health & Wellness Centre provides health promotion, primary care and counselling services in an interprofessional shared care model. The team delivers student-focused care and support that is compassionate, culturally responsive and evidence-based and supports students in achieving their goals and potential by inspiring hope, promoting healthy choices and supporting the healing process. The team strives to enhance services to students through collaborative partnerships across campus and in the community.       Under general supervision of the Assistant Director, Health & Wellness Centre, this position provides highly effective front line customer service support to students and assistance to Health &Wellness Centre staff. Key responsibilities include: reception duties; answering general telephone calls and inquiries; scheduling appointments; assistance with management of medical charts in the EHR (Electronic Health Record); responding to requests for information; coordinating the flow of information through voicemail recordings and hours of operations notifications; entering daily data and submitting patient billings to OHIP and other health insurance providers; entering data to core database; monitoring mail; and preparing and faxing referrals to specialist's offices.

      Your responsibilities will include:

      • Acting as the first point of contact for general enquiries
      • Responding to enquiries within the defined scope of the role and redirecting as appropriate
      • Creating and updating records
      • Scheduling appointments
      • Confirming appointments
      • Handling sensitive and/or confidential information
      • Providing proactive support to individuals in distress and making referrals to specific university services
      • Submitting billing records for processing

      Essential Qualifications:

      • College Certificate in medical office administration or equivalent or acceptable combination of equivalent experience.
      • Minimum two years of related medical office administration in a medical group practice setting.
      • Experience with OHIP and insurance billing practices. Working knowledge of medical office terminology.
      • Demonstrated ability to create an inviting and welcoming environment for clients.
      • Strong customer services skills and proven ability to perform calmly and competently during emergency situations.

      • Knowledge of PHIPA and ability to maintain strict confidentiality.
      • Strong written and verbal communication skills.
      • Must be accurate and attentive to detail.

      • Strong interpersonal skills and ability to work in a fast paced environment.
      • Ability to work independently and as a team member in a multifaceted environment with frequent interruptions.
      • Proficient in Microsoft Word and Excel and ability to incorporate new and emerging office information technology.
      • Proficient in using Electronic Health Record system (EHR).


      Assets (Nonessential):

      • First Aid/CPR Certificate.
      • Familiarity with student services and student life in a post-secondary setting.
