      About the role:

      This is a full-time position for a fixed period of 7 months, with the possibility of transitioning to a permanent contract based on performance review and company needs.

      As Hotel Logistics Coordinator, you will help us build and maintain strong working relationships with Austral Group’s hotel partners and ensure an excellent standard of service to our travelers. You will be responsible for preparing the rooming lists and a smooth check-in process, coordinating with our internal and external teams all necessary details for a pleasant stay, scheduling provider payments and revising final billing reports. You will be successful in this role if you have a passion for the hotel and travel industry, you are comfortable with processing large amounts of ever-changing data, you think on your feet and solve problems proactively, and are analytical and process-oriented.

      Key responsibilities:

      • Build rooming lists, issue reservation confirmation documents and prepare customized check-in procedures
      • Liaise with our hotel partners and our ground staff worldwide to resolve unexpected service issues promptly and effectively and ensure impeccable service for our travelers
      • Analyze provider invoices for accuracy and coordinate the corresponding payment schedules
      • Keep our provider database up-to-date with rates, service details, and relevant provider data
      • Keep up with changes in the travel and hospitality market in Austral Group’s destinations and be prepared to make suggestions for improved service strategies
      • This role is primarily focused on our operations in Asia, but also involves close collaboration with colleagues in the Americas, so the candidate must be available for synchronous work between 6:00 and 10:00 AM Eastern Time (ET) for team meetings and real-time communication.

      Qualifications and Experience

      • University degree or at least 3 years of prior work experience in areas related to travel services. Prior work experience in a hotel groups/events role is a plus.
      • Strong aptitude in computing skills and in organizing data, quick adaptability to new software and database systems.
      • Ability to work in a fast-paced environment, balancing a constant flow of service requests from internal and external partners.
      • Highly organized and detail-oriented, able to verify billing reports for accuracy and spot errors in large amounts of passenger data.
      • Excellent time management skills to balance a series of critical and time-sensitive deadlines
      • Clear and agile communication, proactive problem-solving attitude, and passion for the travel industry.
      • High level of English required;

      This is a remote position, and candidates located in Vietnam or nearby time zones are especially encouraged to apply, provided they can maintain the required working hours overlap with our Americas-based team.
