      Occupational Summary

      Perform a variety of specialized, complex activities in the coordination of Human Resources, Visas, and Payroll for the Pratt School of Engineering Administration including the Office of the Dean, Undergraduate Education, Development, Communications, Facilities, and Information Technology. Strong emphasis on confidentiality, attention to detail, professionalism, and high levels of engagement with programs and units throughout the employment life cycle.

      A hybrid work schedule is anticipated for this role. The candidate will be expected to be in office, as needed, specifically during the start of each semester for hiring of Teaching Assistants.

      Work Performed

      • Coordinate the maintenance, recording, preparation and reporting of confidential data related to Engineering Administration personnel information; coordinate and maintain the entry of human resource and payroll data and the generation and distribution of related reports and information.
      • Actively engage with programs and units in the development and implementation of best practices throughout the employment life cycle from recruitment to termination. Develop tools to track and manage the tasks associated the HR/Payroll transactions. Collaborate with units to post vacant positions, pre-screen applications, schedule interviews, draft offer letters, process visa applications, onboard candidates, follow up on trial period documentation, coordinate annual evaluation process, submit personnel actions, etc. Maintain communication and proactively problem solve. Educate employees on departmental/Duke personnel policies and/or benefit changes. Anticipate, investigate, document, and resolve unique payroll and human resource problems and issues.
      • Manage the Teaching Assistant employment life cycle for programs and units within the Pratt School of Engineering Administration umbrella. Guide processes in adherence to deadlines and policy including timecard submission and approvals for all biweekly team members (staff & students). Support the Research Experience for Undergraduates and Pratt Fellows Program application processes.
      • Coordinate visa documentation and collaborate with Duke Visa Services to ensure compliant and timely submission. Communicate updates to visa applicants and hiring managers, as needed.
      • Initiate and review all personnel forms for completeness, accuracy, timing, and conformity to budget and policy guidelines to include faculty appointments; make recommendations and process forms as appropriate; reconcile payroll and verify and support personnel and payroll actions and ensure compliance with established University policies and procedures and departmental management directives regarding human resource and payroll activities.
      • Independently perform complex administrative and human resource projects in support of Pratt Human Resources leadership. Collaborate with Pratt Communications on updates to Pratt Intranet and/or Human Resource and Faculty Affairs websites.
      • Maintain liaison with human resource managers, departmental business managers, administrative staff, senior management, Human Resource representatives and others as necessary to obtain and provide information. Attend all human resources payroll, and visa update meetings and trainings. Stay current on all changes/trends within these areas.

      Perform other related duties incidental to the work described herein, including assistance with temporary human resources and payroll support to Pratt School of Engineering departments and programs, as needed.
