      WHO ARE WE LOOKING FOR

      La Joya ISD is seeking a detail-oriented and responsive Substitute Specialist to monitor daily absences across the district and ensure substitute coverage through our automated system. This individual will serve as a key liaison between Human Capital and campuses, providing daily reports to principals and helping address unfilled absences.

      We are looking for someone who:

      • Monitors absence trends and flags potential coverage gaps
      • Communicates daily with principals regarding substitute needs
      • Uses our substitute system to ensure accuracy and timely reporting

      Education/ Certification:

      • High school diploma or GED required/ associates or bachelors preferred
      • Additional coursework or certifications in HR, business, or office systems preferred

      Special Knowledge/Skills:

      • Strong communication and customer service skills
      • Proficiency in Microsoft Office and substitute management platforms (e.g., Frontline/AESOP)
      • Ability to manage time-sensitive tasks, maintain organized records, and handle high call/email volume
      • Understanding of La Joya ISD’s substitute placement procedures, job codes, and payroll timelines
      • Bilingual (English/Spanish) preferred

      Experience:

      • Minimum 2 years of clerical, office, or HR-related experience, preferably in a school district setting

      Major Responsibilities and Duties:

      Substitute System Monitoring

      • Monitor daily staff absences through the district’s automated substitute system (e.g., Frontline) and ensure all requests are entered and tracked accurately
      • Generate daily absence reports and communicate with campus principals about coverage status and unfilled positions
      • Track and escalate chronic unfilled absence trends to Human Capital leadership
      • Maintain accurate substitute rosters within the system and ensure substitute assignments align with district policy

      Campus & Principal Support

      • Serve as the primary point of contact for principals and campus staff regarding substitute-related system issues
      • Communicate promptly with campuses regarding open absences and coverage challenges
      • Coordinate with Human Capital staff when position-specific concerns or long-term vacancies impact substitute placement

      Records & Reporting

      • Maintain and distribute up-to-date reports related to daily absences, unfilled positions, and substitute usage
      • Provide summary reports to district leadership upon request to support staffing analysis and strategic planning
      • Assist in maintaining compliance with district procedures related to substitute assignments and absence tracking

      Other

      • Maintain confidentiality and professionalism in all communications
      • Follow district safety protocols and emergency procedures
      • Perform other duties as assigned to support Human Capital operations

      Working Conditions and Mental Demands

      • Standard office environment with frequent phone and email communication
      • May work irregular hours
      • Frequent interruptions; must manage shifting priorities and maintain emotional control under stress
      • Prolonged periods of computer use and sitting; occasional light lifting (under 15 lbs)
