Job Title:
IELP Japanese-English Administrative AssistantDepartment:
EHE | Intercultural English Language ProgramsThis position works in the Intercultural English Language Programs (IELP), formerly ESL Programs, within the Department of Teaching and Learning, College of Education and Human Ecology.
The Administrative Assistant is a member of the administrative team and provides support for the TraVerse program (English for Professionals) and the American Language Program (intensive English program). This position assists the director and instructors in TraVerse and ALP.
Duties:
For TraVerse:
- communicate with program participants in English and Japanese, answering emails and phone calls in English and Japanese, maintaining student registration in Scarlet Canvas, and assisting with Scarlet Canvas content management.
- create registration information, learning manuals, informational handouts for students.
- manage the TOEIC test preparation and administration at the client’s sites in Ohio.
- collaborate with clients in program marketing and promotion.
For ALP:
- assist with program admissions and registration for the students and serves as the primary contact for the university's Registrar's Office, the Office of the Bursar, the Graduate School, and the Office of International Affairs.
- provide student services (new student check-in, score reports, enrollment verification, financial guarantees, financial responsibility statements, course assignments, schedules, student records reconciliation); course management (online course management, course creation, registration and enrollment, troubleshooting).
- manage student database and system (data input for Filemaker Pro, Carmen, and SIS) and reporting to stakeholders (trend analysis, score analysis, participation rate reports).
Minimum Education Required
Bachelor's Level Degree or equivalent combination of education and experience
Required Qualifications- must be proficient in both English and Japanese oral and written professional communications.
- able to translate from English to Japanese and vice versa.
- experience working with non-native English speakers.
- experience working in customer service.
- experience in a business/corporate environment.
- office management experience.
- have the ability to handle multiple tasks and establish priorities.
- strong organizational skills and attention to detail.
- experience providing administrative support to a broad base of internal and external customers.
- experience with distance education and educational technology and have willingness to learn and explore new technologies.
- considerable experience using Microsoft Office Suite applications (e.g Word, Excel, PowerPoint).
Desired Qualifications- experience working in a higher education setting, preferably working with students.
- knowledge of university administrative systems such as Workday, BuckeyeLink, and Qualtrics.
- experience with HTML.
Additional Information:
The Target Hiring Range for this position is $17.74-$23.63
This is a hybrid position with remote and in-person work locations.
