      About this role

      The Inbound coordination support (ICS) monitors all shipments from production sites to warehouses in North Europe and South Europe. In particular, the ICS coordinates shipments which require T1 documents to move from EU ports to final destinations in Europe.

      This specific role guarantees the correct transfer of containers with a particular focus on timings and on T1 expiry date to minimize delays and protect CFR score in Europe.

      This is a pivotal role to maintain and improve end to end service level.

      Teamwork

      The ICS needs to interact with different team members for the best management of the shipments. ICS is in contact with different Diageo teams (market and demand planning, secondary logistics, MSO’s, Tax team) as well as external partners like customs brokers, carriers and 3PL warehouses. Direct contact with carriers is needed to coordinate inbounds to Fiege Bocholt considering priority list provided by market planners.

      Leadership Responsibility

      The ICS reports directly to the Secondary Logistics manager but needs to manage in autonomy the various requirements coming from different departments through a collaborative and constructive way of working.

      Market complexity

      The ICS monitors an average of 100 shipments per week, delivered to 8 countries (Germany, France, Italy, Denmark, Spain, Sweden, Poland, Greece) through 10 carriers with different lead times and routes. About 75% of these orders need T1 document once arrived in Europe; this implies different sources of data coming from carriers and 3PL’s which must be checked and monitored.

      Role Objective

      Management and coordination of shipments to guarantee a seamless transition of goods between primary and secondary logistics networks, reducing delays to improve service and efficiency.

      Focus Improvement

      Encourage and suggest improvement ideas during team meetings (DOR’s, WOR’s, ITF’s etc) to minimise costs and improve and sustain service.

      Main Responsibilities

      • Maintain visibility of all shipments, providing regular updates with necessary info such as good issue date, arrival in EU, T1 submission date and expiry date, delivery date, customs clearance date, etc.

      • Check country specific requirements and support solutions.

      • Make sure shipments are delivered before T1 expiry date to avoid problems with customs broker (blocked guarantee) and customs. If T1 expires and container is still at port, request customs broker to close the document by the expiry date and submit a new one. If manifested details are not correct, make sure they are amended soon.

      • Pay particular attention to Premium loads which always need T1 document to be submitted urgently and first delivery slot available (ask warehouse to prioritize them and, if no free slot is available, postpone a non-urgent order), make sure container is customs cleared on time.

      • Support carrier in booking delivery slots based on priority list provided by demand/market planners, prioritize urgent shipments informing carrier/customs broker. Ask carrier/warehouse to switch delivery slots if needed.

      • Agree WoW to address issues when process is not working well or when problems occur.

      • Establish a linear process with MSO (in direct contact with carriers) and warehouses to avoid costs coming from quay rent conditions and/or short T1 validity.

      • In case of warehouses capacity issues, coordinate all inbounds based on priority list provided by demand/market planners.

      • Liaise with Finance to report extra costs (if any) and to keep Cost per Case on target.

      • Solve problems related to T1 documents when container is not at port anymore. Make sure T1 documents are closed before expiry date, to avoid fines.

      • Cost management (secondary logistic): update the monthly cost report for finance with data mentioned on invoices received from Fiege Bocholt, Fiege Switzerand, Skanlog Denmark and Skanlog Sweden. Good Receipt invoices in Coupa. Monitor PO balances in SAP. Open new PO in Coupa for new fiscal year or for new services

      To be successful in this role, you will need:

      1+ years in secondary logistics roles – preferred

      Coordination/support experience within Supply Chain

      Technical skills

      Ability to handle large amount of email communication.

      Advanced Excel proficiency

      Knowledge of Tax-related documentation and procedures – preferred
