- Is the primary person responsible for placing unit orders for his/her team.
- Monitors expiration dates of sterile commodities following JCAHO guidelines, by rotating stock and visually checking expiration dates, to ensure usage or return to inventory prior to expiring.
- Provides customer service support to end-users and staff members regarding product location, delivery and returns.
- Report discrepancies, problems or questions to the Supply Support Supervisor related to the acquisition and distribution process such as stock outs and backorders.
- Provides support to Supply Support staff members regarding product location, delivery and returns; runs “Where Held” reports in PeopleSoft when required.
- Interface with key distributor re: backorders, substitutes and inventory information on critical products.
- Assist customers regarding product availability, obtaining substitutes or need for expedited shipments; follow-up/communicate with customers regarding status. Key customers include: all inpatient, SDSU/PACU, selected outpatient, Pharmacy (stock room and code cart assistance).
- Online purchasing of special order products via EBuy direct from manufacturers and vendors as required.
- Maintain supply inventory and monitor expiration dates on the Ambulatory Disaster carts.
- Assist Customer Service staff with filling supply requisitions.
- May provide training to new staff members.
- Provide support in the absence of the Team Leader (see Team Leader Task List).
- Cover the stat room in the absence of the Inventory Coordinator (see Inventory Coordinator Task List).
- Follows Hospital, JCAHO and DPH guidelines and procedures.
- Exercises appropriate body mechanics, care and caution when handling and delivering materials.
- Performs other duties as assigned.
- Perform PeopleSoft application transactions such as; cart information updates, running reports and on-line ordering.
- Monitor clean supply areas to ensure compliance with JC, Infection Control, Safety and Departmental guidelines. Report any compliance issues to the Team Leader and/or Supervisor.
- Continuous, close monitoring of inventory to ensure that product is on hand. This involves keeping a close eye on supply and demand, awareness of unit utilizations, and staying in tune with manufacturer shortages to pro-actively plan and order “spare” product to have on hand in case of emergencies or disasters.
- Provide feedback to Unit Leadership Team regarding supply level adjustments, removal of product and addition of supplies.
- Perform cart reorganization tasks as needed. Reorganize supplies, replace bins and labels; add bins and labels to the cart when adding new supply; and perform min/max level adjustments.
- Work with Environmental Service to perform bi-annual cleaning of clean supply areas.
- Perform clean supply room and order audits to ensure compliance with the departmental procedures.
- Basic mathematical and communication skills.
- Must be able to lift heavy objects up to fifty pounds

- Must possess a positive attitude and ability to use sound reasoning in isolating a problem and reach a sound conclusion.

Under the general direction of the Supply Support Supervisor and within hospital and departmental guidelines, the Inventory Specialist maintains the overall maintenance of Patient Care Areas and the Material Services Stat Room. The Stat room holds approximately $100K and over 760 line items of emergent supplies.
