      Job Description

      We're currently looking for an executive assistant to be a supportive force who empowers our CEO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties, and meeting with internal departments.

      Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations. Some job responsibilities include:
      • Calendar Management: Schedule meetings, appointments, and conference calls for the CEO, ensuring effective management of their schedule and travel arrangements.
      • Task Prioritization: Helping the CEO manage and prioritize tasks, projects, and deadlines to ensure efficient workflow.
      • Support the CEO in Account Management: primarily regarding nurturing sales leads.
      • Sales Strategy Sessions: Review the CEO's sales dashboard weekly to identify how to engage with prospects and increase revenue.
      • Maintaining Sales Pipeline: Act as a point of contact for prospects, handling inquiries and requests, and forwarding them to the appropriate sales executive.
      • Meeting Support: Assist in following up on action items. Do post-meeting follow-ups ensuring all pricing proposals, sales materials, and decks are sent to the prospect and modified as needed.
      • Scheduling, preparing agendas, taking notes, prepping the CEO about meeting topics when possible, and ensuring efficient meetings.
      • Social Media Support: Assist the CEO in engaging with prospects on his personal social media account.
      • Email Correspondence: Manage and respond to emails on behalf of the CEO, sorting, prioritizing, and redirecting as needed.
      • Travel Coordination: Arrange travel itineraries, accommodation, and logistics for the CEO, including flights, hotels, restaurants, and ground transportation.
      • Data Management: Maintain and update customer databases, sales reports, and other records as required.
      • Project Support: Help the CEO with special projects such as data analysis and event planning, coordinating teams and monitoring project progress.
      • Research: Conducting research on specific topics, markets, or competitors to provide relevant information to the CEO.
      • HR Activities: Sending out monthly awards to employees, completing employee onboarding forms, and completing employee offboarding forms.
      • Relationship Management: Building and maintaining relationships with internal and external stakeholders, including clients, partners, and team members.
      • Document Management: Handling confidential documents, reports, and presentations, and maintaining organized files.
      • Gatekeeping: Screening call requests and inquiries to manage the executive's time effectively.
      • Maintain and refine internal processes that support the CEO and coordinate internal and external resources to expedite workflows.
      • Manage communication with employees by liaising with internal and external executives on various projects and tasks.


      Qualifications
      • 2-4+ years of executive assistant experience in a startup or fast-paced environment.
      • MUST be proactive - you don't wait for orders and can act independently in the best interest of the company.
      • Proficiency with office productivity tools and an aptitude for learning new software and systems.
      • Some sales enablement skills and HubSpot experience.
      • Flexible team player, willing to adapt to changes and unafraid of challenges.
      • Ability to maintain confidentiality of information related to the company and its employees.
