Provide event planning, coordination, implementation and execution for multiple types of events for Great Shots, Blue Rock, and the Sanford Event Barn.Job Description
Responsible for coordinating event logistics, managing budgets and timelines for assigned various events with clients.
Coordinate detailed logistics with operational partners and vendors to ensure delivery of the elements required for a positive event experience. Along with the lead event specialists, facilitate appropriate negotiation, review and execution of client contracts.
Responsible for coordinating details to ensure execution of innovative, impactful and memorable event experiences as defined by the client.
Responsible for reviewing BEOs, setting up and breaking down the event areas, and coordinating a team on scheduled event days.• Oversee all offsite events.
• Set-up and breakdown all buffet stations and guest tables for the event.
• Act as the contact person for the guest during the event.
• Assist servers with bussing and setting tables, as needed.
• Communicate with support crew and management.
• Creates and implements a strategy for supporting current and future business needs.
• Supervise banquet functions to ensure they run smoothly and efficiently.
• Champions behaviors that inspire cohesiveness and move the organization to reach a vision.
• Ensure compliance with all departmental and company policies and procedures.
• Maintain complete knowledge of service requirements for assigned functions.
• Maintain storage areas for proper supplies, organization and cleanliness.
• Instruct designated employees to rectify any cleanliness/organization deficiencies.
• Communicate additions or changes to the assignments as they arise throughout the shift.
• Conduct pre-function meeting with Servers and review all information pertinent to setup and service of function.
• Inspect employee grooming and uniforms rectify any deficiencies.
• Check buffet tables/receptions/coffee breaks for cleanliness, attractiveness, and layout.
• Ensure replenishment of items as specified on banquet event orders and requested by function contact.
• Ensure that unused food is returned to the kitchen, that designated condiments are broken down and properly stored (butters, cream, dressings, etc) and all banquet supplies are returned to designated storage areas.
• Foster and promote a cooperative working climate, maximizing productivity and employee morale.
• Complete all paperwork and closing duties in accordance with departmental standards.
• Assist Sales Team with BEOs and packets when needed.
• Perform other duties as assigned.
Other duties as assigned.Qualifications
Bachelor's degree in marketing, communications or business required.
Three to five years of experience required. Experience in events or project management preferred.
