- Greets and welcomes patients. Escorts patient to the appropriate location for pre-examination information gathering.
- Administers medications and injections under provider’s directions and documents in EMR.
- Administers immunizations under Provider’s direction, including providing Vaccine Information Statement (VIS) and follow-up. Updates vaccine information in patient’s EMR accurately and ensures documentation transfers to the Oklahoma State Immunization Information system (OSIIS) utilizing HL7. Understands HL7 and ensures it’s accuracy.
- Orders, receives, organizes, and monitors vaccines from the Oklahoma State Department of Health (OSDH) and clinic pharmacies.
- Maintains an electronic record on the stock of vaccines and records each immunization given.
- Verifies immunizations needed according to the Oklahoma State Immunization Information System (OSIIS), the patient’s shot record, and the provider.
- Utilizes the electronic vaccine storage system to pull vaccines, interpret temperature reading, monitor dispenses, run reports, and ensure inventory accuracy.
- Keeps work area clean and orderly. Exhibits professional manners in dress and work habits.
- Perform daily temperature checks and compiling monthly temperature logs while ensuring temperatures are within acceptable ranges.
- Provides training and support for immunization staff and clinic staff. Ability to precept.
- Assist clinics in maintaining compliance with State regulations.
- Monitors and aids in meeting immunization quality measures.
- Responds to concerns related to immunizations. Escalates concerns to the Immunization Manager as needed.
- Ensure vaccine storage units are in working order and support their efficiency.
- Provides back-up coverage as Immunization Coordinator as needed.
- Ability to perform lab draws proficiently.
- Reviews assigned Telephone Encounters within the EMR in a timely manner. Seeks assistance when necessary.
- Prepares and restocks supplies in each examination room(s) daily and swiftly prepares rooms for subsequent patients.
- Assists Providers in physical exams and procedures as directed.
- Proactively addresses the needs of patients and families in the health center.
- Considers cultural sensitivity and utilizes effective communication skills.
- Disposes of contaminated items in accordance to Variety Care policy.
- Follows “Universal Precautions” for safety regulations; uses appropriate Personal Protective Equipment (PPE) as task on hand requires.
- Follows the Health Insurance Portability and Accountability Act (HIPAA) guidelines and VARIETY CARE policies and procedures as they relate to privacy and confidentiality.
- Complies with the Occupational Safety and Health Administration (OSHA) recommendations for the workplace.
- Assists with medical emergencies as directed by Provider.
- Supports plan of care and patient education in line with provider’s recommendations.

- High school graduate or GED .
- Four (4) years of experience as a Medical Assistant or Immunization Coordinator.
- Experience administering immunizations.
- Related immunization experience in ordering, receiving, and managing stock.
- Demonstrated proficiency of core competencies within 90 days of employment.
- Must complete CPR within 90 days of hire.
- Possess intermediate computer skills including data entry and typing.
- Ability to effectively communicate with the patient population.
- Ability to maintain confidentiality of information private and in accordance with HIPAA and Variety Care Policy.
- Ability to work in a multi-faceted, fast-paced work environment.
- Bilingual (English/Spanish).
- Able to lift a minimum of 25 pounds
- Able to sit/stay at desk for extended periods of time.

Position Summary:
Under the direction of the Immunization Manager, the Lead Immunization Coordinator acts as a float immunization coordinator to monitor the organization’s immunization inventory, immunization orders, administers vaccines to patients and completes data entry at any assigned Variety Care clinic. The Lead Immunization Coordinator assists with patient examinations, pre-visit questions, treatments and procedures as directed by the Provider, while maintaining an efficient flow of patients through the clinic. The Lead Immunization coordinator acts as a resource for immunization coordinators including orientation, routine education, and quality assurance.
