      The Need

      For 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking a Lead, Strategic Partnerships Event Planner to manage the planning and execution of key donor-centric events that drive US Major Donor revenue.

      This position is hybrid (onsite Tuesdays & Thursdays) if located in the Washington, DC area or remote for non-local candidates. It reports to [title] and is only available for candidates with the right to work in the US.

      Responsibilities:

      Strategy & Knowledge Development & Implementation

      • Develop project planning materials to show how goals will be achieved via actionable strategies & plans.

      • Prepare and help facilitate stakeholder briefings, including speaker/field briefings and leadership briefings as needed.

      • Develop best practices for virtual and in-person event management and experiences.

      Communication

      • Facilitate event team meetings, including communications of decisions, action items and ensuring follow-up.

      • Manage internal communications to appropriate audiences and stakeholders.

      • Prepare and help facilitate stakeholder briefings, including speaker/field briefings and leadership briefings as needed.

      • Communicate professionally with donors and/or draft communications to donors.

      Documentation, Reporting & Data Management

      • Deliver webforms to capture donor event data effectively & efficiently (i.e., registration & giving forms).

      • Manage event(s) in Teamwork (project planning software) from end to end (i.e., project build out to ongoing task management through project close out.)

      • Ensure event data is appropriately uploaded, cleaned, and analyzed in Salesforce.

      • Manage event reporting to show progress v. goals and budget v. actuals.

      Events and Logistics

      • Identify stakeholders' requirements and expectations for each event.

      • Collaborate cross-functionally with internal and external stakeholders.

      • Brainstorm and implement event concepts and themes.

      • Prepare event budgets and process invoices.

      • Initiate purchase orders, check requests, & honorariums.

      • Research and book venues.

      • Manage external contracts.

      • Organize suppliers, caterers, staff, and entertainment.

      • Utilize IJM registration platform to oversee registrations.

      • Coordinate all logistical elements of the event.

      • Manage set-up, tear-down, and clean-up operations.

      • Ensure event compliance with insurance, legal, health, and safety obligations.

      • Anticipate attendee needs and make preparations against potential risks.

      • Develop post-event reports on the effectiveness of each event.

      • Conduct post-event debriefs across each audience type (i.e. Stakeholders, producers, speakers, etc.).

      Clerical and Administration

      • Schedule all event-related meetings.

      • Approve project expenses.

      • Registration reporting.

      • Is able to lift to 30lbs.

      General Tasks

      • Participate in IJM’s community of spiritual formation.

      Qualifications:

      Education & Experience

      • 4+ years’ experience planning and executing high-profile, single and multi-day, in-person events.

      • 2+ years of virtual event management experience.

      • Bachelor’s degree required.

      • CMP certification or higher preferred.

      Technical Competencies

      • High proficiency with Microsoft Office suite.

      • High proficiency with Bizzabo event platform or other event management platform.

      • Teamwork or other project planning software experience preferred.

      • Salesforce experience is preferred.

      • Ability to travel up to 15%.

      • Ability to oscillate between big-picture goals/strategy and event details.

      • Orientation to process + strategic agility in decision making.

      • Ability to drive event planning and execution with minimal oversight.

      *What is a statement of faith?
      A statement of faith should describe your Christian faith and how you see it as relevant to your involvement with IJM. The statement can either be incorporated into the cover letter or submitted as a separate document and should include, at a minimum, a description of your spiritual disciplines (prayer, study, etc.) and your current fellowship or place of worship.
