      Job Description

      The Leave of Absence Specialist will manage the administration of all aspects of employee leaves to ensure compliance with company policies, federal, state and local leave regulations, while providing instruction, guidance and excellent customer service to employees, managers and human resources professionals. This position requires a high degree of confidentiality.

      Essential Job functions:

      • Manage the administration of all company leaves of absence, including federal, state and
      • local leaves, reasonable accommodation under ADA, personal leave, military leave, etc.
      • Serve as the primary point of contact for employees and manage leave inquiries, advising
      • employees and managers on the leave process and related policies.
      • Intake of leave requests, sending required notices, forms and letters, and determining leave
      • eligibility. Ensure compliance of all federal, state and local leaves
      • Create and maintain complete and accurate leave files.
      • Track leave time working with HRIS and Payroll
      • Communicate with employees, managers and human resources professionals to coordinate
      • the return-to-work process, including accommodation requests and leave expirations.
      • Responsible for maintaining current knowledge of federal, state and local leave laws and
      • regulations;
      • Review all case escalations on a regular basis Director of Leave Administration and HR
      • Manager of Leave Administration.
      • Track accommodations made within the company. Develop, generate and present reports on
      • a regular basis to analyze LOA and accommodation data and trends.
      • Coordinate short-term and/or long-term disability and process application in leave paperwork
      • Track Family Medical Leave (FMLA, state specific LOA, personal LOA and Workers
      • Compensation LOA, ADA in conjunction)
      • Additional benefits administration and other duties assigned as appropriate

      General Job functions:

      • Act as a Subject Matter Expert for the HR department for Leave of Absence, Worker's
      • Compensation and ADA processes, policies, procedures
      • Contribute to cross-functional HR initiatives as well as LOA specific initiatives.
      • Communicate ideas and process improvements regarding current LOA policies and
      • procedures
      • Perform other related duties or projects as required or requested.
      • Strong commitment to data integrity and accuracy


      Education, Certification, Computer and Training Requirements:

      • Human Resources, Business Administration or related field degree preferred
      • SHRM Certification or Membership preferred
      • Minimum 2 years’ experience in an HR/Leave Admin/Employment Law related position.
      • Previous experience with high volume leave administration in leave of absence
      • administration preferred.
      • In-depth knowledge of federal and state leave related regulations including FMLA, NJFLA,
      • NYPFL, ADAAA (including the interactive process), HIPAA, and workers compensation.
      • General understanding of employee benefits as they relate to leaves of absence, including
      • short/long term disability, COBRA, state disability pay, etc.
      • Proficient in Microsoft Office programs, including Excel, Word, PowerPoint and Outlook
      • Experience using HRIS software (Workday), database and web-based systems, and leave
      • admin related systems
      • Ability to maintain high level of confidentiality and professionalism
      • Excellent written and verbal communication skills
      • Strong multi-tasking, prioritization and organization skills
      • Attention to detail, critical thinking, analytical and problem-solving skills
      • Self-starter, fast learner with ability to work independently under limited supervision
      • Must work well in an interactive team environment

      Travel:

      • Local travel to other locations, 10%
