      The Mayor of West Yorkshire’s busy office is looking for a new Office Manager. This exciting role will put you at the heart of a fast paced and dynamic team, providing day-to-day support to the Mayor as she delivers on her manifesto pledges to the region. These pledges can be viewed here.
      The role provides high-level professional and confidential operational leadership for the office of the Mayor of West Yorkshire.

      Working closely with the Chief of Staff, you will play a critical role within the Mayoral team by ensuring the effective day-to-day management of the Mayoral Office including overseeing the executive support function to the Mayor, Chair and Deputy Chairs of the CA’s Transport Committee. You will also ensure effective co-ordination and communication between the mayoral office and wider teams across the CA as well as key stakeholders.

      You will have lead responsibility for implementing and ensuring the smooth delivery of all the operational, financial and contractual processes, as well as ensuring compliance with all statutory and governance matters. With line management responsibility for a small team, you will provide direct support to the team as policy portfolio leads linked to the delivery of the Mayor’s manifesto pledges.

      In 2021 the £1.8bn devolution deal was secured for West Yorkshire. This meant the first Mayor of West Yorkshire was subsequently elected, with Tracy Brabin taking up post in May 2021. The devolution deal and election of the Mayor has enabled us to start to drive up living standards for local communities while tackling the climate emergency and helping to deliver our commitment to become a net zero carbon city region by 2038.

      The Role

      Reporting into the Chief of Staff, the key responsibilities are but not limited to:

      • Act as a first point of contact for the Mayoral Office liaising and working with a wide range of stakeholders both within the community, CA and externally.
      • Oversee the delivery of a highly effective executive support function to the Mayor, Chair and Deputy Chair of the CA’s Transport Committee by ensuring the full practical coordination of their diaries and management of their inboxes.
      • Daily management of the mayoral office inbox, responding, delegating and drafting responses as necessary as well as prioritisation and supervision of workflow for members of the Mayoral Office team.
      • Line management and development of four direct reports including 2x policy and casework support officers, diary secretary and mayoral support officer and Transport Committee policy and support officer.
      • Lead on security issues for the Mayor and Deputy Mayor (Policing and Crime) within the team as well as the allocation and management of casework ensuring compliance with corporate KPI’s and internal policies.
      • Support the Chief of Staff with budget and team planning.
      • Support the Mayoral Office team to manage enquires from various internal and external stakeholders including Leaders, Councillors, Chief Executives, Senior Civil Servants and Ministers in a highly professional, efficient and timely manner.
      • Provide professional and confidential secretariat to political and senior officer meetings including agenda setting, collating papers, writing reports and preparing accurate minutes.
      • Support the wider mayoral team to provide a professional interface between the mayoral office and the CA’s wider policy and strategy teams and ensure actions requested by the Mayor, Chair and Deputy Chair of the CA’s Transport Committee, Deputy Mayor (Policing and Crime) are proactively followed up and delivered on time.
      • Financial responsibility as a budget holder for the Mayoral Office, carrying out and monitoring all relevant transactions including the necessary preparations for audit purposes.
      • Oversee and help prepare the monthly submission of the team and Mayor’s travel expenses.
      • Lead the Mayoral Office response to Freedom of Information requests.
      • Ensure relevant papers or briefing notes are prepared and received in a timely manner for meetings and lead on the production of the Mayor’s daily briefing pack.
      • Provide general administrative and organisational support to the Mayor and the wider mayoral team as required, including the preparation of documents, correspondence, reports and management information as needed.

      About you

      You will have the following key skills, attributes, education and experience:

      • Educated to Degree or equivalent relevant education/ experience.
      • Practical experience of successfully performing in a similar role.
      • Experience of working in a political environment.
      • Experience of working with a range of stakeholders.
      • Current knowledge of national legislation, policies and developments relevant to Mayoral policy priorities.
      • Experience of working in a multidisciplinary team.
