- Provide ACA wide staff, customer and board events support for operational processes.
- Fuels organizational synergy through consistent processes and effective communication with other roles.
- Coordinate all aspects of event planning and execution, including venue selection, catering, transportation, and accommodations.
- Develop and manage event budgets, ensuring cost-effective solutions without compromising quality.
- Collaborate with internal teams and external vendors to ensure seamless event execution.
- Create and distribute event materials, such as invitations, agendas, and promotional content.
- Manage event registration and attendee communication, providing exceptional customer service.
- Attend events as needed to provide onside facilitation and logistic coordination
- Responsible for break/food set up and break down as needed
- Conduct post-event evaluations to assess success and identify areas for improvement.
- Maintain accurate records and documentation for all events.
- Establish contacts within hotel, food service, facilities, and other event logistics
- Coordinate and manage the schedule of meeting agendas, speaker requirements, and overall timely meeting logistics
- Track orders and ensure timely delivery to board, staff, other customers or clients
- Resolve any arising problems or complaints related to logistics
- Collaborate with vendors, suppliers, and transportation companies
- Facilitate communication between board, leadership, and other teams across the association.
- Review purchase orders and event logistics to ensure accuracy
- Make special shipping arrangements as necessary
- Submit bills and invoices for any organized events
- Develop processes that make meeting and events more efficient and organized
- Handle administrative requests and queries from senior managers
- Organize and schedule appointments and meeting/events
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled report
- Develop and maintain a filing system, event protocols
- Order gifts and other supplies and research new offerings, and suppliers
- Maintain contact lists
- Book travel arrangements and submit expense reports
- Provide general support to management
- Act as the point of contact for internal and external meetings and events
- Liaison with board member logistics to handle requests board meeting requirements, travel and other needs of both board and leadership.
- This position requires a Bachelor's degree in Event Management, Hospitality, Business Administration, or related field.
- Proven experience in event planning and coordination.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in Microsoft Office Suite.
- Creative problem-solving abilities.
- Attention to detail and a commitment to quality.
- We offer hybrid work options after two weeks of employment with Farm Credit East. Hybrid work options are determined based on job role and balancing the needs of the customers, the team, and individual work performance. This will be reviewed based on manager discretion.
- Salary Range: $55,000 to $80,000 commensurate with experience
- Short-Term Incentive to reward business results
- Retirement Contributions :
- 401k match up to 6% of salary; or for those unable to take full advantage of the 401(k) match, verified student loan payments may qualify for an employer match in your 401(k) up to 6% of salary
- Defined Contribution retirement plan funded at 2-9% of salary depending on years of service

- 15-25 days of vacation leave per year, depending on years of service

- 7.5 days of sick leave in your first year, followed by 12 days of sick leave per year thereafter; unlimited rollover of unused sick leave year to year

The Meeting and Events Coordinator will be responsible for planning, organizing, and executing a variety of events, including corporate meetings, conferences, and board/staff gatherings. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. This role will coordinate logistics and meetings held at the Enfield, CT location as well as coordinate with other outside vendors/hotels for offsite catering and events. Responsible for coordinating all details of these events/conferences which may include menu planning, hotel arrangement, timing, reservation/scheduling, calculating budgets and ensure they are adhered to. Negotiate and secure event space, staffing, and layout and seating for delivery of high quality meeting/conferences. Develop and edit any documentation related to events including agendas, travel arrangements, directions, and troubleshooting issues as they may arise. Manage correspondence including registration and attendee tracking and presentation and materials support.
