      The American Academy of Dermatology is seeking a Meetings Coordinator located in our Rosemont IL office. This role is responsible for the coordination of and the assistance with activities and projects for assigned meetings, Annual Meeting and Innovation Academy, regional, council, committee, and task force meetings. This role will assist in the coordination of Annual Meeting and Innovation Academy speaker presentations, meeting app development, concierge program, and meeting specifications. Assist with other assigned Academy objectives, as directed.

      Responsibilities:

      • Coordinate, and assist with various Academy meetings ranging from 3 to 300 people as assigned. Includes researching hotels, venues, restaurants, DMC, audio visual, transportation, etc. assisting with timelines (Monday.com), rooming list, logistics (pre/on-site), website, reconciliation, meeting calendar, etc.
      • Coordinate and assist in the production of the Annual Meeting and Innovation Academy specifications including timelines responsibilities, distributing to all vendors, M&C Staff and Education Staff.
      • Coordinate and oversee the Annual Meeting and Innovation Academy Meeting Concierge Program, AskMe, and FAQ communications.
      • Assist with special sessions and ADA requests (plenary, live demo, hands-on, derm tank, etc.) for Annual Meeting and Innovation Academy.
      • Assist with audio-visual speaker submission site, and meeting application development for Annual Meeting and Innovation Academy.
      • Assist with the organization/packing of supply trunks, set-up and maintain onsite communications devices, etc.
      • Coordinate upcoming year’s Annual Meeting and Innovation Academy destination promotion with local CVB representatives including travel, housing, booth logistics, etc.
      • Coordinate in-house meetings with 3 or more AAD members in attendance. This includes working with AAD Management Staff including AAD facilities/IT departments and outside caterers. Also handling all local housing needs for AAD staff, members, vendors (under 10 rooms).


      Requirements:

      • Bachelor’s degree with hospitality management emphasis or equivalent experience required.
      • Minimum 2 years of project coordination experience required.
      • Experience with meetings or the hospitality industry required.
      • Experience in an individual membership association is highly preferred.
      • Ability to apply effective verbal, non-verbal, and written communication methods required.
      • Possess organizational skills and the ability to prioritize multiple assignments and to meet strict deadlines.
      • Ability to use standard procedures and processes to make decisions.
      • Able to operate standard office equipment, i.e., copiers, printers, etc.
      • Ability to work independently on various projects and/or with limited supervision.
      • Strong attention to detail and follow-up skills required.
      • Strong PC and data entry skills are essential.
