      We are now seeking a full-time Administrative Assistant to manage a busy Home Care office near La Jolla.

      POSITION SUMMARY

      1. Provides a full range of clerical support including scheduling employees with clients, typing correspondence, reports, and documents; maintaining filing systems; and coordinating daily interoffice activities.
      2. Monday to Friday, 40-hour work week.

      THE PERSON

      • Is meticulous and plans each event down to minor details.
      • Has the maturity to “own” and take charge of day-to-day issues.
      • Can handle multiple tasks simultaneously to meet client needs.
      • Possesses basic to advanced office skills, such as filing, administration, data entry, and a pleasant phone manner.
      • Is comfortable working with office and phone technology.
      • Recent experience as a Caregiver is preferred, with the ability to fill in for Caregivers in the field if needed. The successful applicant will be expected to have, or obtain, and maintain an active CA Home Care Aide registration.

      QUALIFICATIONS

      • High school diploma required; college degree preferred.
      • Minimum of two (2) years of work experience, preferably in healthcare.
      • Fluent in English (reading, writing, speaking, comprehension).
      • Strong verbal, written, and interpersonal communication skills.
      • Ability to type at least 50 words per minute and familiarity with basic computer programs.

      ESSENTIAL FUNCTIONS / AREAS OF ACCOUNTABILITY

      Using the franchisee's computer system, produces weekly schedules for assigning clients to Caregivers:

      • Determines Caregiving needs for each client.
      • Allocates available Caregivers, considering vacations, sickness, and other factors.
      • Distributes and updates the weekly schedule, informing relevant parties.

      Provides clerical support to management and supervisory staff:

      • Prepares correspondence, reports, documents, and Care Plans.
      • Schedules appointments and meeting rooms.
      • Prepares policy updates and statistical reports as needed.

      Maintains inventory of office and medical supplies:

      • Establishes standards and reorder points.
      • Monitors supply needs and ensures availability.
      • Prepares client charge slips and forwards to billing.

      Assists with billing processes:

      • Data entry for schedules, billing, and payroll.
      • Maintains admission logs and monitors doctors' orders.
      • Enters new clients into the system.

      Supports hiring of direct care staff:

      • Conducts initial phone screenings and schedules interviews.
      • Requests references and assists in orientation and training.

      Ensures compliance with policies, laws, and standards:

      • Follows agency policies and maintains confidentiality.
      • Participates in meetings and quality improvement activities.

      Facilitates communication with supervisors, clients, and other departments:

      • Attends staff meetings, contacts clients and families, and reports on documentation.
      • Performs additional duties as needed.
