      Introduction

      The goal of the City of Charlotte’s General Services Department is to guide agencies through innovative and efficient deployment of resources to meet their missions and fulfill the needs of the City in a rapidly evolving and complex environment. The Department will design and deliver expanded, shared services across departments and for the City of Charlotte to improve performance and save taxpayer money. General Services consists of capital project management, fleet services, procurement, environmental services, property management, and other support services.

      Function

      Administrative

      Summary

      Provides routine clerical support to the human resources team within the General Services Department. Also provides clerical support to division managers throughout the Department. Performs clerical duties such as filing, copying, preparing materials, scheduling interviews, and general assistance to the HR Manager and HR team. Note: This position is only eligible for CMS students graduating in June 2024. This is a partnership with CMS and the City of Charlotte to employ high school students, offering entry-level, upward mobility opportunities.

      Major Duties and Responsibilities

      Assists HR team and supervisor with a wide variety of general support functions including filing, copying and preparing materials. Utilizes computer software to complete data entry and research. Creates, files, and maintains records and documents. Assists with scheduling interviews and other clerical duties for department division managers. Prepares materials for job fairs and other recruitment related tasks. Works closely with supervisor on a broad array of HR-related functions including special projects and reports as needed. Cross-trains with HR staff as a back-up for payroll or other HR-related tasks. Assists with maintaining HR files. Types documents and creates materials. Keeps department intranet updated with HR-related content, links and resources. Maintains confidentiality of employee issues and records. Maintains knowledge of the City’s HR and general administrative policies and procedures. Ability to learn about the field of human resources including applicable policies and procedures. Performs other duties as required.

      Knowledge, Skills & Abilities

      Good customer service skills. Ability to work independently and as part of a team. Good communication skills (written and verbal). Knowledge of Microsoft Office products including Word, Excel, PowerPoint, and Teams. Ability to work with a wide variety of employees in a courteous and respectful manner. Good organization skills and attention to detail. Ability to understand and carry out oral and written directions. Competencies for success include: Self-Awareness, Communication Skills, Adaptability, and Approachability

      Preferred Qualification

      Familiarity with administrative and clerical procedures, methods and computer equipment and programs. Knowledge of principles and practices of basic recordkeeping and reporting.

      Minimum Qualifications

      High School Graduate (June 2024 in CMS) and one year of relevant work experience

      Conditions of Employment

      The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte.
