- Developing and maintaining productive relationships with key internal and external stakeholders, including Ministers' Offices and the Senior Executive, to achieve outcomes and support the flow of information across stakeholder groups.
- Providing advice, guidance and knowledge to key stakeholders on strategic objectives and enterprise performance to support informed, risk-based decision-making and statutory obligations.
- Collecting and analysing data through consultation with key stakeholders, incorporating feedback into team deliverables and the development of performance evaluation reporting and/or enterprise advice.
- Providing high quality administrative and logistical support including managing team mailboxes and records management processes, preparing briefing material, responding proactively to incoming requests and work flowing tasks according to priority.
- Supporting the Department's high-level governance committees and perform general administration and secretariat duties, including responding to governance queries, drafting agendas, developing committee papers, distributing meeting packs and recording and monitoring action items.
- Supporting the department and broader Portfolio's holistic and proactive engagement with external inquiries and reviews, including coordinating responses to requests, monitoring and briefing on relevant activity, and providing hearing support for Portfolio Executives.
- Assisting with the planning and delivery of meetings, maintaining contact lists and providing advice and assistance to working groups within the forums.
- Setting up and maintaining GovTeams sites, reporting on the activities of working groups and sub-committees as required.
- Undertaking records management functions to ensure records are accurate, complete and managed in accordance with departmental policy.

About our team
DS Executive | Executive Coordination
The Executive Coordination Division (ECD) within the Executive Group is responsible for Department-wide organisational strategy and policy coordination, capability, strategic reform program management, performance and risk oversight, and ministerial and SES support, including the management of portfolio inquiries. The role of ECD is to support the Secretary, the Minister and Senior Executives to effectively deliver on Government priorities, operational goals and legislative requirements through informed decision-making and enterprise-wide support. ECD is inclusive of the Performance, Governance and Inquiries Branch, the Media and Communication Branch and the Ministerial and Parliamentary Branch.
The Performance, Governance and Inquiries (PGI) Branch is a central point of support and oversight for the Department and provides strategic advice and guidance to the Department, Executive and relevant portfolio Ministers. The PGI Branch is responsible for the strategic coordination of a number of key enterprise performance functions, including governance, risk management, external inquiries, performance reporting and evaluation, and organisational structure changes.
Current available roles within the PGI Branch encompass:
The Media and Communications Branch (MCB) is responsible for centrally coordinating media enquiries and strategic communications for the Department. MCB is comprised of several teams that each deliver important influence and enabling services for Minister’s offices, Senior Public Servants and departmental business areas.
Current available roles within MCB centre on crisis communication, planning and executing strategy communication, and media engagement activity relating to counter-terrorism, counter foreign interference, critical infrastructure and security. This includes administrative, logistic and secretariat support.
