      Purpose:

      • Front line onsite client support specialist operating within a small team to deliver contracted services within Service Level Agreements.
      • Lead a small cross functional team to deliver Production Print, Printer Fleet Management, Mail & Courier and facilities services.

      Scope:

      General:

      • Point of contact for client facing enquiries
      • Interact with Service Delivery Manager on overall account management.
      • Oversee daily operations
        • Print production & procurement
        • Courier & mail processing
        • Support & maintain fleet of multifunction print devices
        • Manage requests for facilities support
        • Support Intelligent Document Processing program
        • Department bill back & invoicing


      Print Production & Procurement


      • Process & print ad hoc client requests as well as Print on Demand program orders
      • Ensure high level of quality output & color accuracy
      • Complete bindery functions as required
      • Ensure Consistent Quality Control practices throughout the print process
      • Package accordingly for distribution to the end user
      • Mark job as completed in workflow system
      • As required procure client requests through partner printers
      • Process payments for outsourced requests through Corporate Purchasing card or PO (Purchase order in Ariba).


      Courier & Mail processing


      • Process & sort inbound Canada Post mail
      • Prepare inbound mail for daily mail run
      • Sort & prepare outbound mail for domestic and international destinations
      • Manage funds on Canada Post Meters
      • Capture inbound couriers in tracking system & distribute accordingly
      • Received and prepare outbound packages for local, domestic & international couriers
      • Capture client bill back information as needed


      Support & maintain Fleet of Multifunction print devices


      • Monitor XDM (Xerox Device Manager), XSM (Xerox Service Manager) & XSP (Xerox Services Portal) for device alerts & ticket management
      • Manage & maintain supplies for Customer Replaceable Units
      • Triage customer device challenges and action to Xerox Technical Service team
      • Gather meter reads for billing purposes
      • Manage queries and challenges with XWC (Xerox Workplace Cloud)
      • Proactively monitor users’ forum and alerts for XWC to ensure minimal disruptions to services
      • Engage SSG (Software Support Group) for any operational requirements for XWC
      • Pull device logs as required by SSG to support remote diagnostics


      Manage Requests for facilities support


      • Monitor Service Request ticketing system and action tasks through to closure
      • Schedule large scale room set-ups as needed
      • Schedule live meetings with outside guests to ensure presence at reception


      Support Intelligent Document Processing program


      • Monitor mailbox for client queries
      • Onsite point of contact for client questions
      • Triage related hardware and software as required
      • Engage support specialists as required


      Department bill back & invoicing


      • Maintain job requests in Meridian billing system to proper client charge codes
      • Capture Third Party (Partner provided print) in Meridian and bill to a client charge code
      • Process fleet meter reads from Asset Coordinator in Meridian
      • Capture Intelligent Document Processing volumes against appropriate invoices in Meridian
      • Prepare invoice package on Work Day 1 and present to client
