- Lead, train, and manage Operations Coordinators and Receptionists.
- Ensure receptionist staff greet all patrons and help maintain safe , welcoming environment; ensure staff re main aware of their surroundings.
- Assign tasks and monitor daily workflows to optimize efficiency and coverage.
- Provide ongoing performance feedback and facilitate professional development and motivation.
- Create staff schedules, authorize time-off requests, and ensure coverage at all times.
- Maintain training and procedural documentation; ensure confidentiality and compliance.
- Promote collaboration between reception and operations staff, incorporating feedback and suggestions.
- Monitor and coach contracted security and custodians; foster positive rapport.
- Inspect and maintain the building’s overall appearance; ensure the building remains clean and safe.
- Collaborate with the Recreation Coordinator to ensure consistent and effective delivery of gym programming
- Support gym programming by moving volleyball poles, pickleball nets, basketball hoops, and other gym equipment. Heavy lifting, bending, and carrying are required at least twice per shift.
- Regularly monitor public spaces in the building; proactively address security, cleaning and maintenance issues and report them in daily email.
- Complete morning and closing checklists and return them to Director of Operations and Rentals.
- Create planned maintenance activities and ensure completion.
- Conduct repairs to building areas and equipment as needed.
- Assist with event setup and post-event clean-up, including food delivery, bar setup, furniture arrangement, AV setup, inventory checks, and general cleaning.
- Learn and demonstrate the use of AV, theatre, gym equipment, and technology (e.g., laptops, file transfers). Ability to work independently is essential.
- Maintain positive communication with internal and external stakeholders; provide facility tours to potential renters.
- Evaluate, prioritize, and follow up on stakeholder requests to ensure customer satisfaction and adherence to COH policies.
- Effectively communicate infrastructure and operations issues to team members (via email and punch list); take corrective actions as appropriate.
- Communicate clearly and respectfully with all Center constituents; ensure adherence to relevant policies;
- Ensure all opening and closing reports are clear, concise, and informative.
- Appropriately respond to patrons exhibiting severe behavioral issues; establish healthy boundaries.
- Address hostile clients or emergencies as they occur; occasionally participate in mediation with suspended individuals.
- Lead building evacuation procedures as necessary; monitor fire and burglar alarms after hours.
- Enforce COH’s In-Center Commitments (code of conduct) with clients and patrons.

Position Summary:
Essential Functions:
Be a proactive member of the team at Center on Halsted (COH), the largest Lesbian, Gay, Bisexual, Transgender, and Queer (LGBTQ) Community Center in the Midwest. The Operations Manager plays a key leadership role in ensuring the seamless execution of daily operations across all departments.
This position supervises a team of three Operations Coordinators, a SCSEP Recreation Coordinator and four Receptionists and is responsible for coordinating logistics, staff scheduling, and operational standards. The Operations Manager reports directly to the Director of Operations and Rentals.
Key responsibilities include ensuring daily activities, events and meetings run smoothly; identifying, resolving and effectively communicating operations-related issues, particularly infrastructure issues; assisting with event setup (including arranging furniture, checking-out equipment and setting up AV systems); and responding to emergencies and hostile patrons. The Operations Manager must demonstrate cultural competency in interactions with LGBTQ community members and maintain positive demeanor. Collaboration with staff to ensure program and service success is essential. Additional responsibilities include monitoring and coaching contracted vendors (cleaning company and security), completing assigned daily tasks, prioritizing projects, and handling necessary paperwork.
