      JOB SUMMARY:

      The Procurement Specialist is responsible for planning, purchasing and coordinating delivery of materials and services in support of Gaia Herbs’ tactical and strategic supply chain goals. This role is responsible for successfully balancing multiple priorities, lead times, and cost structures to ensure the highest quality materials arrive in a timely manner to support production. The Procurement Specialist will be responsible for supporting the broader Supply Chain team and work closely with other cross-functional partners (Quality, R&D, Gaia Farm, Warehouse, Marketing, Sales, Finance, IT) to drive supply-chain and operational efficiencies as identified

      ESSENTIAL DUTIES AND RESPONSIBILITIES:

      • Reviews purchase requisitions (PR), converts PRs to purchase orders (PO), and provides confirmation back to stakeholders.
      • Confirms vendors’ ability to meet PO requirements such as on-time, in-full (OTIF) delivery at or below previously negotiated purchase prices prior to placing/confirming POs.
      • Communicates with vendors after PO submission for status updates and provides feedback to internal stakeholders.
      • Maintains vendor and item master data to include, but not limited to: minimum order quantities, maximum volume commitments, lead times, terms and conditions (T&C), and pricing in company enterprise resource planning (ERP) software system to allow transparent and real-time system adjustments.
      • Leverages ERP demand signals and vendor feedback to determine quantity required and when to place purchase orders for materials and/or services.
      • Ensures all vendor documentation is provided and correct prior to receipt of materials.
      • Coordinates with Quality to ensure testing is completed within vendor confirmed service level agreements and ensures vendor provides refund/rebate for materials out of specifications.
      • Monitors and reports weekly PO status for all items on order; value of outstanding POs due by week, escalating issues as they arise.
      • Notifies key stakeholders and documents vendors’ unexpected performance and price variances.
      • Effectively and efficiently communicates with and between vendors and internal customers who may need further information or clarity to ensure proper part or service is ordered and received.
      • Takes key role in resolving any non-confirming receipt (damaged, wrong part, short-shipped, over-shipped, etc.) by working with vendor, receiving, and accounts payable.
      • Responsible for collecting all certification documentation for new suppliers and items as needed.
      • Ensures vendors comply with Gaia Herbs’ receiving policies, as well as other best practices established to minimize shipping damage.
      • Tracks key supplier performance data points for periodic evaluation and annual scorecard.
      • Takes key role in reselling excess inventory to liquidation outlets and key distributors within the United States.
      • Assists department management with administrative assistance in submitting necessary QA paperwork for new items, new suppliers and spec changes for existing items.
      • Manages and further develops strategic relationships with external partners after onboarding by Global Sourcing team.
      • Ensures supplier compliance regarding pre-ship sampling (when necessary) and associated documentation to ensure materials are quality released in time for production demands.
      • Provides ad hoc reporting to Supply Chain and Executive Management as requested.
      • Suggests and manages strategic supply agreements and long-lead purchase orders.
      • Drives continuous improvement objectives and FMEA analysis to reduce strengthen resilience and reduce process variability regarding procurement.
      • Ensures suppliers’ compliance with Gaia Herbs sourcing standards specifically regarding ingredient purity, sustainability, and social governance mandates.
      • Maintains professional demeanor while representing Gaia Herbs with suppliers and attending external events.

      Requirements

      QUALIFICATIONS:

      Education & Experience:

      • One of the following:
      • Bachelor’s degree in business, supply chain, or related field.
      • Associate’s degree in business, supply chain or related field and one (1) years’ experience in consumer-packaged goods, food and drug, or similar industry.
      • Five (5) years of experience in consumer-packaged goods, food and drug, or similar industry.


      • Demonstrated experience in international procurement and relationship building.
      • Previous experience in food and drug specifically with a natural focus preferred.
      • Experience working with ERP/MRP software, preferably IFS.


      Knowledge, Skills and Abilities:

      • Ability to translate, statistically analyze data, and effectively report problems through written and/or graphical formats.
      • Ability to work either independently or cooperatively with others to achieve shared goals, showing diplomacy and flexibility when there are conflicting opinions.
      • Ability to collaborate with and provide recommendations to internal and external stakeholders.
      • Ability to negotiate strategic contracts and purchasing agreements.
      • Outstanding organization and problem-solving abilities.
      • Excellent organizational, project management and communication skills.
      • Familiarity with Power BI and proficiency with Microsoft O65 functions.
      • Familiarity with food and drug industry, specifically botanicals and herbs preferred.

      WORK ENVIRONMENT

      The primary work environment of this position is a standard office environment. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually low.
