Fleet Services Division provides comprehensive fleet management services to City Divisions, Agencies and Corporations in support of the delivery of key public programs and services including a full‐range of asset lifecycle management services, maintenance, sustainability, vehicle fuel/energy supply management, safety, training, and compliance management.

      Reporting to the Program Manager of Strategic Initiatives & Projects, the Project Lead plays a critical role in supporting the coordination, development, implementation and evaluation of projects, activities, and assignments to support the implementation of Sustainable City Fleets strategies and initiatives, and key corporate strategies that advance the City's vision, mission, and goals as outlined in the Corporate Strategic Plan, TransformTO, and Toronto's Resilience Strategy.

      Major Responsibilities:

      • Provide support to assigned projects to ensure completion within approved work plans.
      • Prepare project reports and status updates for the senior management team.
      • Providing input and administering the assigned project budgets ensuring that expenditures are communicated, controlled, and maintained within approved budget limitations.
      • Support staff and trainees, ensuring effective teamwork, communication, and high standards of work quality to advance the Division’s strategic initiatives and projects.
      • Develop and implement contracts, detailed plans and recommend policies regarding program specific requirements.
      • Reviews, tracks, evaluates, and is accountable for the work performance of external service providers with respect to contract governance and management, contract requirements, project scope, schedule adherence, cost containment, completion of required tasks, and quality of deliverables.
      • Conducts research into assigned areas, including working with confidential information related to policy, staffing, job roles and budgetary changes and produces reports that take into account developments within the field, City policies and practices, legislation and initiatives by other levels of government.
      • Develops budget estimates, human resource estimates and future projections based on research and communication with multiple client groups.
      • Provides recommendations that contribute to divisional/City initiatives and the effective use of human assets and services that will lead to service efficiencies and optimization of resources.
      • Collects, analyzes, evaluates and interprets information/findings to develop Key Performance Indicators (KPl), recommendations for improvement to existing Divisional projects, operating procedures, policies, services and increase contract performance.
      • Represents Fleet Services and/or City of Toronto when participating in working groups and committees, as well as when coordinating and collaborating with peer cities, other levels of government, and technical associations
      • Coordinates, implements and monitors project tracking tools.
      • Conducts site visits, field studies and analyzes collected and available data to determine trends and make recommendations.
      • Assists in the design, development, and facilitation of policies, procedures, and processes.
      • Assists with addressing day-to-day technical contract issues.
      • Liaises with members of the public, contractors, City stakeholders, and elected officials to address and resolve issues.
      • Works with interdivisional, interdisciplinary and interagency teams and consultation processes to plan toward and support project and program delivery while addressing political, community, business and other stakeholder interests.
      • Provides input into and coordinates various Health and Safety and Environmental compliance initiatives.

      Key Qualifications:

      Your application must describe your qualifications as they relate to:

      1. Post-secondary education in Environmental Studies, Public Administration/Policy, Engineering, Urban Planning or a relevant discipline or equivalent combination of education and/or experience.
      2. Experience in handling multiple and diverse projects from inception through implementation with minimal direction, and the ability to initiate, coordinate and manage the implementation of creative solutions in a detail- and deadline-oriented environment.
      3. Highly developed interpersonal skills with the ability to communicate both orally and in writing at all levels of the organization, and the ability to convey technical information effectively to elected officials and the public.
      4. Excellent communication skills in delivering presentations, building and maintaining relationships, and resolving conflicts.
      5. Extensive experience in conducting research, analysis, interpreting large volumes of data, summarizing findings and creating presentations.
      6. Extensive experience with a variety of software packages including Microsoft Suite (e.g. Word, PowerPoint, Project, and Visio, including advanced level in Excel), and or equivalent City available software to conduct complex processing of database extracts.
      7. Advanced knowledge in drafting and presenting reports and recommendations to senior level management.
      8. Experience working in the environmental/sustainability field is considered an asset.
      9. Ability to support the Toronto Public Service values to ensure a culture that champions equity, diversity and respectful workplaces.
      10. Ability to possess and maintain a valid Province of Ontario Class "G" Driver's License and qualify for City required vehicle operating permits is considered an asset.
